Health and Wellness Colleges of Canada, Alberta College of Massage Therapy is a private education facility providing an inspired, flexible approach to Registered Massage Therapy training. Our growing team is seeking apart timeAdministrative Assistant to join our growing team.
The key responsibilities of the Administrative Assistant will be to provide additional support to our Marketing and Community Outreach department by managing the day-to-day administrative functions and inquiries.
Responsibilities
- Monitor the event calendar to ensure minimum attendance requirements
- Monitor student responses and confirmations. Answering student queries when applicable.
- Responsible for creating distribution lists for each event invitation meeting the required minimum. Ensuring reminder notifications are sent within the 7-10 day guideline.
- Coordinating with 3rd parties on student confirmation and attendance for external events.
- Managing, monitoring and revising attendance list as necessary.
- Working with Marketing and Outreach on internal tracking and reporting on all events.
- Communication with clients who have received services within student clinic and obtaining feedback.
- Monitoring emails ensuring they are forwarded to appropriate departments and team member.
- Monitoring textline and ensuring all textline messages are distributed to the appropriate team member.
- Answering and transferring calls through the Ring Central queue.
- Sending invoices and payment link for events, where required.
- Additional Administrative Duties as assigned by department heads.
Qualifications
- High school diploma, or equivalent.
- Minimum 1 year in an administrative role.
- Strong attention to detail.
- Excellent communication skills, both orally and written.
- Experience in Microsoft Suite (word, excel)
- Ability to work both independently and in a team.
