Primary Job Functions
- Dispatch work orders to technicians based on skill set and certification.
- Monitor work orders and shop load.
- Assign labor times to additional job operations to meet retail and warranty SRT's.
- Communicate with Service Advisors in obtaining customer approval for additional work.
- Review and track all operations on each work order that are complete or still need to be assigned.
- Update Service Advisors on work progress through internal communication systems.
- Continuously monitor technician time clock. Confirm labour times for jobs are accurate prior to assigning to shop.
- Advise foreman/chargehand to find out if labour target time will be met. Have Service Advisors contact customer if more time is required and if promise time is going to change.
- Manage and keep status on back counter work orders and tag locations.
- Keep back counter neat and organized.
- Manage and keep status on Waiting for Parts (WFP). Check daily with Parts Department if parts have arrived.
- Manage and keep current on Waiting for Authorization.
- Update next shift foreman or chargehand on work orders in progress.
- Work with foreman/ chargehand in writing of repair estimates.
- Assist with front counter responsibilities and other duties requested by the manager.
Required Qualifications
- Minimum 2 years as a service dispatcher or shop coordinator.
- Previous experience in a lead / supervisory role mentoring junior staff is an asset.
- Demonstrate above average interpersonal skills, acting as a resource to all employees and being able to work in a team environment.
- Basic computer knowledge and ability to learn in house programs.
- Valid Class 5 Drivers license.
- Strong root cause and problem - solving skills.
- Being mechanically inclined considered an asset. Strong hydraulic and electrical knowledge and skills.
- Demonstrated quality control skills and attention to detail.
