This opportunity is with our Good Shepherd - Finance and Administration

Reporting to the Procurement Manager, the Procurement Specialist demonstrates responsibility and enhances the dignity and quality of life of our clients, visitors and staff by being accountable for procurement functions for multiple companies to ensure compliance with internal and external audit requirements. The role involves carrying out duties in line with the Mission and Values of Good Shepherd, providing culturally competent and respectful service, and reflecting the organization's charism.

How You Will Make an Impact

  • Assist to develop, implement and support the GS procurement polices, and procurement processes.
  • Responsible for approved corporate operational acquisitions and managing vendor relationships.
  • Monitor compliance with purchasing policies and provide support to all staff in the purchase of goods and/or services so that the maximum value for money is obtained.
  • Assisting in vendor selection, determining product availability and pricing.
  • Review all requests to ensure that they meet ergonomic, organizational standards.
  • Provide manufacturer updates/recommendations for furniture and equipment.
  • Prepare and provide product /pricing information to departments to assist with the budget planning process.
  • Coordinate RFP, RFQ and RFI processes for various corporate projects, support Buyer in administering RFP, RFQ and RFI's, in accordance with the principles, procedures and guidelines outlined in Broader Public Sector Procurement Directives and Good Shepherd policy.
  • Provide and compile required information to initiate contractual and service agreements for all acquisitions. Review contract documents and provide recommendations regarding risk management.
  • Conduct contractual negotiations and agreements with vendors for expendables, identify and mitigate risk wherever possible, securing advantageous terms and strategic partnerships.
  • Ensure all contractor's WSIB and Liability Insurance proofs are received and current.
  • Reduce spend, improve supplier relationships, and identify leverage opportunities.
  • Research equipment solutions and process improvements that can be implemented to reduce costs.
  • Implement procurement strategies to maintain security of supply, optimum quality and value for money.
  • Liaise with managers to coordinate deliveries and service schedules.
  • Research and monitor business trends to source high quality products and services through the most cost-effective, efficient and sustainable means possible.
  • Maintain the Vendor of Record suppliers and ensure quality control in consultation with Directors/Managers
  • Monitor complaints and provide follow up support regarding product service needs and warranty claims.
  • Review and maintain contracts in the corporate contract repository.
  • Analyze business operations to identify cost reductions and improved outcomes.
  • Will be required to perform any other duties related to the Good Shepherd as directed by the Procurement Manager.
  • Observe Good Shepherd health and safety rules and comply with the Occupational Health and Safety Act to minimize risks to clients, staff, and property.

What You'll Bring to Our Team

  • Minimum experience of 5 years in a procurement role.
  • SCMA certification or equivalent, proficient in MS Word, and MS Excel.
  • Experience working with NETSUITE will be preferred.
  • Skilled in negotiation and evaluation techniques.
