To drive these initiatives, we are seeking a highly motivated and detail-oriented Executive Assistant to join our Administration team.

In this role,the successful candidate will be instrumental in supporting our executive team, helping to streamline operations and contribute to our mission of sustainable and environmentally conscious construction. The ideal candidate will be adept at managing complex schedules, coordinating projects, and communicating effectively with various stakeholders.

Responsibilities:

Committed to and responsible for providing high-level administrative support, the Executive Assistant ensures seamless executive operations by managing schedules, coordinating communications, preparing reports, and overseeing key administrative functions.

  • Administrative Support: Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and organizing travel arrangements.
  • Communication Management: Act as a point of contact between executives and employees or external partners, managing information flow in a timely and accurate manner.
  • Document Preparation and Management: Prepare and edit correspondence, reports, and presentations; manage filing systems and ensure confidentiality of sensitive information.
  • Meeting Coordination: Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Project Coordination: Assist in project management, including planning, tracking progress, and coordinating resources and deadlines.
  • Event Planning: Coordinate internal and external events, including logistics, guest lists, and venue arrangements.
  • Research and Analysis: Conduct research, compile data, and prepare papers for consideration and presentation by executives.
  • Stakeholder Engagement: Liaise with clients, suppliers, and other external partners to ensure smooth operations and maintain professional relationships.
  • Expense Management: Handle expense reports and budget tracking for the executive team.
  • Special Projects: Take on additional projects and responsibilities as required, demonstrating flexibility and adaptability.

Qualifications and Competencies:

  • Experience: At least 3 years of experience as an Executive Assistant, preferably in the construction or environmental sector.
  • Technical Skills: Proficiency in MS Office, Excel, PowerPoint and Word
  • Communication Skills: Excellent verbal and written communication skills; ability to interact with high-level executives and stakeholders.
  • Organizational Abilities: Strong organizational and time-management skills; adept at multitasking and prioritizing in a fast-paced environment.
  • Problem-Solving: Proactive problem-solver with a keen attention to detail.
  • Discretion: Ability to handle confidential information with discretion and integrity.
  • Adaptability: Flexible and adaptable to changing priorities and tasks.
  • Teamwork: Ability to work collaboratively in a team environment.
  • Passion for Sustainability: A keen interest in environmental issues and sustainable practices is highly desirable.

Working Conditions:

  • This is a full-time, salary role with defined minimum work hours.
  • Overtime may be required from time to time.
  • This is an office-based position.
