Nature & Scope
This Administrative Assistant - Summer Student will have the opportunity to gain excellent office work experience while developing the skills necessary to be successful in their future. The summer student will have an opportunity to improve their teamwork and communication skills, as well as, their administrative skills and leadership capabilities. This position provides administrative functions while maintaining a high degree of accuracy and careful handling of highly confidential and sensitive information. This position will positively promote and create an environment that demonstrates SIIT's vision, mission, and mandate.


General Accountabilities
The Administrative Assistant - Summer Student will have the opportunity to gain excellent office work experience while developing the skills necessary to be successful in their future. The summer student will have an opportunity to improve their teamwork and communication skills, as well as, their administrative skills and leadership capabilities. This position provides additional support as required and includes the following broad range of accountabilities:

Specific Accountabilities

  • Answering and directing routine inquires and promptly respond to inquiries as required
  • Answering the phone in accordance with SIIT standards; transfer calls where appropriate and take messages as required
  • Greeting and interacting with clients and visitors in a timely, professional and pleasant manner; coupled with determining the nature of visitors' business and providing appropriate information
  • Management of the front office which includes being responsible for opening and closing the office by following applicable procedures; as well as maintain a clean atmosphere in front reception area at all times
  • Providing administrative assistance to the department in order to support the accomplishment of business activities, i.e. data entry, filing, archiving, photocopying, scanning, etc.
  • Coordinating all logistics of meeting requests including booking rooms, set up and take down of technology requirements, catering and refreshment requirements; as well as travel and accommodation requirements as required
  • Receiving, sorting, and sending mail, courier packages, and faxes
  • Purchasing and maintaining adequate supply levels as required such as general office and coffee supplies
  • Provide additional support on special projects and department initiatives as required

There may be some summer student positions that must meet the following criteria:

  • First Nations and Inuit secondary and post-secondary students aged 15 to 30 inclusive
  • Ordinarily resident on reserve or in recognized communities or on community lands
  • Legally entitled to work in Canada
  • Registered as students during the preceding academic year and who intend to return to studies in the next academic year

Position Requirements: Prior experience working with Microsoft Office suite of programs is an asset.
