Nature and Scope

The Marketing & Special Projects Assistant - Summer Student provides administrative support to the Advancement department. As an employee of SIIT, this position will positively promote and create an environment that demonstrates SIIT's vision, mission, and mandate.

General Accountability

The Marketing & Special Projects Assistant - Summer Student will have the opportunity to gain excellent experience working in marketing and communications while developing the skills necessary to be successful in their future. The summer student will have an opportunity to improve their teamwork and communication skills, as well as, their administrative skills and leadership capabilities. This position includes the following broad range of accountabilities:

Specific Accountabilities

Administrative Support

  • Extensive knowledge of the functions and purposes, of SIIT programs and services to answer and direct routine inquires to the appropriate contacts and promptly respond as required
  • Answer the phone in accordance with SIIT standards; transfer calls where appropriate and take messages as required
  • Greet and interact with clients and visitors in a timely, professional and pleasant manner; coupled with determining the nature of visitors' business and providing appropriate information
  • Management of the front office which includes being responsible for opening and closing the office by following applicable procedures
  • Provide professional administrative assistance to your direct supervisor and to employees in your department in order to support the accomplishment of business activities
  • Create and maintain efficient and detailed electronic, digital, and paper file management processes- including Canva, Canto and Microsoft Teams SharePoint
  • Maintain regular communication with other SIIT Administrative Staff to ensure consistency in communications, SIIT practices, and procedures
  • Support with managing and maintaining inventory of assets within the department (materials for tradeshows and conferences, banners, signage, etc.)
  • In collaboration with other team members, coordinate SIIT's presence at student recruitment and career fairs, as well as facilitate the planning and delivery of tours to prospective students at SIIT Campus locations


Special Projects

  • Assist with marketing and promotional templates, internal communications, and communication initiatives through the use of various media
  • Providing assistance with the organization and indexing of corporate photos
  • Assisting the Marketing Specialist with the development of content for the SIIT website and social media channels
  • Providing additional support for special project coordination as required

Merchandise

  • Provide support with the purchase and sale of SIIT merchandise
  • Receive deliveries and inventory products
  • Maintain organized system for tracking inventory
  • Coordinate the pick-up and/or shipping of inventory orders

There may be some summer student positions that must meet the following criteria:

  • First Nations and Inuit secondary and post-secondary students aged 18 to 30 inclusive
  • Ordinarily resident on reserve or in recognized communities or on community lands
  • Legally entitled to work in Canada
  • Registered as students during the preceding academic year and who intend to return to studies in the next academic year

Position Requirements: Prior experience working with Microsoft Office suite of programs is an asset. This position is subject to accept or handle monies on behalf of SIIT, therefore, a cleared criminal record check (CRC) is required.
