Our client is looking to bring on a contract Project Administrator for a 6-month contract. This is a hybrid role, on-site 2-3 days per week in the downtown Toronto office. In this capacity the Project Administrator will support two technology executives through day-to-day administrative responsibilities, while providing support in the following areas:
Executive Support:
- Provide comprehensive administrative support to two technology executives, including managing calendars, scheduling meetings, and handling correspondence.
- Coordinate travel arrangements and prepare detailed itineraries.
- Assist in preparing presentations, reports, and documents as needed.
- Act as a liaison between executives and internal/external stakeholders.
Project Coordination:
- Track project timelines, milestones, and deliverables to ensure projects stay on schedule.
- Monitor project budgets, expenses, and resource allocations.
- Prepare and issue Purchase Orders (POs) for project-related expenses.
- Coordinate meetings and communications among project team members.
- Generate regular progress reports and updates for stakeholders.
Resource Management:
- Assist in resource allocation and tracking, including personnel, equipment, and materials.
- Maintain and update project documentation and repositories.
- Ensure documentation is organized, accessible, and up to date.
- Assist in the development and maintenance of project templates and processes.
Requirements:
- Bachelor's degree in information technology, Computer Science, or related field.
- Proven experience (2+ years) as a project administrator, preferably in an IT environment.
- Familiarity with project management methodologies and tools (e.g., Agile, Scrum, JIRA).
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Detail-oriented mindset with a focus on accuracy and quality.
- Ability to work effectively both independently and as part of a team.
