As a Traffic Planning Administrator, you will have the key responsibilities of supporting the coordination, documentation, and administration within our Traffic Planning Department. You will deliver exceptional customer service, ensure the accuracy of intake processes, and support traffic plan designers - ultimately leading to the seamless execution of traffic management initiatives.

What you will be responsible for:

Administrative Coordination:

  • Responsible for the intake of all orders into the planning department (Traffic Plans, Estimates & Special Events). Coordinating between email, phone, and Monday.com form intake.
  • Collaborate with internal teams, traffic engineers, and project managers to ensure the timely execution of TMPs.
  • Review all incoming correspondence, support designers with general queries, and assign to stakeholders as needed. Ensuring all communications are responded to in a timely manner and with a high level of customer service.
  • Facilitate the proposal process for all new and existing traffic clients.
  • Coordinate with internal teams to ensure timely and accurate estimates.
  • Support interdepartmental initiatives.

Documentation Management and Quality Assurance Support:

  • Maintain accurate and organized records of Traffic Plan designs, revisions, and related documentation.
  • Organize, file, and archive design documents for easy retrieval and reference.
  • Collaborate with the quality assurance process to ensure accuracy and completeness of Traffic Plan designs.
  • Assist in addressing design issues and supporting efforts to improve overall plan quality.

Communication, Stakeholder Support, and Data Entry/Analysis:

  • Ensure a high level of customer service at all times.
  • Facilitate effective communication among project teams, traffic engineers, and external stakeholders.
  • Enter relevant data into administrative systems, maintaining data accuracy and integrity.
  • Support data analysis efforts to identify trends and areas for process improvement.

Continuous Improvement:

  • Identify opportunities for process improvement in administrative tasks related to planning coordination.
  • Provide feedback on administrative procedures for continuous enhancement.

What we need from you:

  • Administrative experience in a coordination role, preferably in a traffic management or engineering context.
  • Valid Drivers license and access to a reliable vehicle as some tasks may require use of vehicle.
  • Strong organizational and documentation skills with an attention to detail.
  • Effective communication and collaboration abilities to work with diverse teams and stakeholders.
  • Familiarity with data entry and analysis processes.
  • Continuous improvement mindset and adaptability to evolving requirements.
  • Proficiency in relevant software tools for administrative tasks.
  • Problem-solving skills to address administrative challenges and streamline processes.
  • Strong customer service skills.
  • Adaptable in a fast paced, fast changing environment.
