General Accountability:
The Service Operations Associate is a key employee in the Profound team with operational responsibilities on the service team. The role primarily focuses on maintaining field service records and processing return and replacement orders as well as coordinating technical and administrative support activities like installation, repair, preventative maintenance, and engineering change to be performed at the client sites.
They are someone who takes ownership and demonstrates exceptional attention to detail with a strong commitment to providing efficient customer service to both internal and external end users.
Duties and Responsibilities:
- Obtain customers names, addresses, billing information, product numbers, specifications of items to be purchased for order entry into ERP system.
- Process customer product return requests per company procedures.
- Organize and prioritize replacement orders
- Collect and review field service records for replacement orders
- Compile service-related statistics for reporting to senior management
- Data entry into the company ERP/ CRM systems, including but not limited to shipping records and order records.
- Provide field teams with shipping estimates and tracking information for replacement products.
- Provide internal teams with shipping estimates and tracking for returned faulty product.
- Report delays, discrepancies and issues in a timely manner.
- Execute ad-hoc projects as assigned by the manager.
Education and Certification:
- Bachelors degree preferred
- Degree/ Diploma in logistics an asset
Key Attributes (experience, skills and technical knowledge):
- Excellent oral and written communication skill
- Must be goal focused and committed to completing tasks
- Great attention to detail and accuracy
- Ability to work in a cross functional high paced team environment
- Proficiency in MS Office products (especially Word, Excel)
- Demonstrated ability of managing conflicting priorities, task tracking, time management and organizational skills
- Previous experience in service call center is an asset
- Experience with ERP/ CRM system an asset
- Ability to work as team player as well as independently
