Job Summary:
We are seeking an organized and customer-focused individual to join our team as a Branch Dispatcher and Administrator at Avenir Energy. Reporting to the Territory Manager, this dynamic role blends responsibilities of dispatching propane deliveries and providing exceptional customer service. The successful candidate will be responsible for efficiently coordinating delivery schedules, managing customer inquiries, and ensuring timely processing of orders. Additionally, this role includes supporting the planning and forecasting of workloads to meet branch demands and growth. Strong communication skills, attention to detail, and the ability to thrive in a fast-paced environment are key to success in this position.
Responsibilities - Dispatcher:
Communicate directly with drivers (and brokers if applicable) to manage current and upcoming delivery demand.
Prepare delivery ticket selections within CUE and manage day-to-day dispatching within AWE
Produce and review various reports. ie: performance reports, make necessary adjustments (Kfactors), run out report, follow-up with drivers, new and cancelled accounts report, outstanding tickets or special arrangement reports, truck reports.
Review accounts put on STOP or cancelled accounts to ensure tickets deleted.
Review and adjust customer account delivery parameters (tank size, K factor, HWH Flags etc.),as needed.
Review weekend and overnight customer service inquiries with respect to delivery and take required action.
Maintain DD table within CUE and communicate to delivery team as required.
Utilize CUE AWE systems and reports to manage delivery operation.
Assist/Train other staff on CUE delivery tools (i.e. delivery record setup, K-Factor, DD Due, Delivery profile etc.).
Trouble-shoot truck computer system and communicate with inside / outside support when necessary, with respect to AWE/CV30-31 software, hardware issues.
Provide customer service support on incoming customer calls.
Awareness of Liquid Fuels Handling Code and other codes pertaining to the safe delivery of petroleum products.
Responsibilities – Branch Administrator:
Customer Support:
Serve as the primary contact for customer inquiries via phone, email, and in-person.
Provide accurate and timely information regarding propane services, billing, and delivery schedules.
Resolve customer issues or complaints in a professional and efficient manner.
Handle requests for propane deliveries, tank refills, and equipment maintenance.
Order Management and Customer Invoicing
Process customer orders and ensure correct details are entered into the system.
Follow up on customer delivery inquiries
Maintain and update customer records and service histories.
Customer Payments:
Assist customers with billing inquiries, including reviewing invoices and charges.
Process payments, including credit card and electronic payments, and ensure timely invoicing.
Collaborate with the accounting department to address payment discrepancies.
Administrative Tasks:
Maintain customer files and documents in a well-organized manner.
Assist with inventory management for propane inventory, tanks and related equipment.
Coordinate with other departments (logistics, sales, etc.) to ensure seamless service delivery.
Compliance and Safety:
Ensure that customer interactions and records comply with safety and regulatory standards.
Stay informed about industry regulations and propane safety standards.
Qualifications:
Dispatching and Logistics experience considered an asset
Must have strong computer skills, including Microsoft Office
Customer service experience required, and
Professional driving or fleet dispatching experience is an asset.
