As an Executive Assistant, you will directly support the Vice President of Operations, handling essential administrative functions across the company. This role offers the opportunity to contribute to the smooth operation of the organization while working closely with leadership.

Responsibilities:

  • Serve as the point of contact for senior management, employees, and external partners.
  • Manage senior management calendars and arrange meetings as needed.
  • Attend meetings, take minutes, and assist with agenda preparation.
  • Format internal and external communications (memos, emails, presentations, reports).
  • Collect, distribute, and file monthly reports (audit, operations, accounts payable, Health and Safety, etc.).
  • Coordinate orientation, onboarding, and training for management personnel.
  • Post updates on the employee communications app.
  • Assist with the coordination of the Homes' annual budget.
  • Provide technical support and guidance on various platforms.
  • Maintain professional relationships with residences, communities, suppliers, RHRA, families, residents, and team members.
  • Organize corporate events and assist with major celebrations.
  • Promote inclusive care cultures and eliminate "them and us" approaches.
  • Ensure compliance with legal requirements and promote individual rights while reducing risks.

Qualifications:

The qualifications needed to join our family are as follows:

  • Education & Experience: Diploma in Business Administration or related field (asset); minimum 3 years in administrative roles, including support, records management, and customer service.
  • Skills & Knowledge: Proficient with Microsoft and Google platforms, knowledge of the Retirement Home Act, and exceptional interpersonal, communication, and problem-solving skills.
  • Attributes: Emotionally intelligent, proactive, collaborative, professional, accountable, and able to multitask under pressure while maintaining flexibility and a positive demeanour.
  • Workstyle: Responsible, patient, tactful, and calm in emergencies; able to prioritize tasks, anticipate senior management needs, and work independently or as part of a team.
  • Additional Requirements: Customer service expertise, confidentiality, second language (asset), and clear vulnerable sector screen, TB results, flu shot evidence, and work references (all within 6 months).
