We seek a Part-time Office Administrator to report to the Director, Finance.

This is a hybrid work from home role for 3 days/week (22.5 hours) with some schedule flexibility. Candidates must be able to commute to the Creemore office to attend critical meetings as necessary.

Work from Home / Remote: Hybrid

Wage: $21.37 - $25.64 per hour (22.5-hour weekly schedule)

Under the direction of the Director, Finance and Administration, the Office Administrator is responsible for the general management of the office, overseeing operational efficiency, effective communications, and facilitation of all office functions and services. The incumbent is the primary liaison between the organization, staff, supporters, and the general public. The Office Administrator will provide information, answer questions, respond to requests, and oversee and achieve organizational goals while maintaining an efficient, clean, organized, productive, and positively cultured office and employee experience.

Responsibilities for this position include but are not limited to:

Office Coordination

  • Ensuring all mail is processed and distributed this will consist of scanning and copying documents as required
  • Answering incoming calls to the main phone line and directing as necessary, including checking daily voicemails
  • Managing the general email inbox and answering or re-directing as appropriate
  • Acting as the first point of contact for all visitors to the office, including walk-ins, deliveries, etc.
  • General office administrative duties such as preparing for team meetings, including meeting preparation material, ensuring office/kitchen/bathroom supplies are ordered and stocked
  • General housekeeping duties to ensure the office environment is always tidy (including but not limited to recycling, etc.)
  • Provide backup support to key functional areas as required, including providing administrative support to Finance as needed, i.e. credit card expense inputting and reconciliation
  • Completion of in-office administrative duties and program support as required

Program support for Drinking Water, Environmental Water and School Water

  • Source promotional/gift products for use with program partners
  • Coordinate activities related to supporting program delivery: sourcing, packing, printing, shipping and organizing of workshop/conference/event materials
  • Collaborate with the Finance and Program teams to reconcile all credit card and other expenses while maintaining a record of all receipts

The ideal candidate for this position will possess the following:

  • A high school diploma is required
  • A post-secondary education in office administration or a relevant field would be considered a strong asset
  • A minimum of 2 years of office administration experience
  • A minimum of 2 years providing administrative support to a team
  • Basic accounting knowledge
  • Discretion and trustworthiness: you will often be a party to confidential information
  • Strong organizational skills and the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Solid interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners
  • Expert-level writing and verbal communication skills
  • Proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity
  • Ability to be extremely effective independently
  • Proven ability to deliver the highest level of customer/client service
  • Forward thinking, seeking opportunities and proposing solutions
  • Proficient in Microsoft Office (Outlook, Word, Excel, Teams, and PowerPoint) and Google Suite
  • Flexibility to periodically work outside of regular business hours on an as-needed basis
  • Class G Ontario drivers license with a clean driving record
  • Ability to work effectively from home
  • Strong cultural sensitivity and awareness
  • A willingness to continually expand ones professional skill set, learn on the job, take on additional responsibilities as required and respond to and thrive in a dynamic work environment

  • Candidates must have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada under relevant provincial or territorial legislation and regulations
