Scope of the Position

The Administrative Assistant is responsible for overseeing administrative operations, ensuring accuracy and efficiency in daily financial transactions, and maintaining effective coordination across departments. They support branch operations through record-keeping, staff oversight, and adherence to company policies while also managing customer interactions and returns processing. Additionally, they contribute to the team environment by participating in training, handling communications, and providing back-up support as needed.

Major Duties and Responsibilities:

  • Daily invoicing of packing slips in our Eclipse system, following for manifests from shipping department
  • Balancing cash and posting accounts receivables daily, bank deposits as necessary
  • Coordination of and working with customer service, purchasing and accounts payable with respect to handling inventory, purchase order and payable discrepancies
  • Rotating switchboard duties and vacation back-up for receptionist
  • Attending product meetings and training seminars as deemed necessary by management
  • May assist with attendance and sick day records for all branch staff while ensuring local employee files are current and ensuring all information communicated appropriately to head office
  • Prepare letters, documents and mailers when requested
  • Leading and providing direction for the process and flow of returns
  • Coordinating and leading with the assisting of purchasing and warehouse regarding defective and damaged goods.
  • Providing oversite and ensuring staff are following company procedures and policy.
  • Process and handle various form of payment at customer service window
  • Strong work ethic and positive team attitude
  • Able to effectively communicate both verbally and in writing

Requirements

  • University degree or college diploma, an asset.
  • 2+ years of experience in an administrative capacity and in an office environment, a requirement.
  • Has the willingness to learn and adapt.
