Position Overview
The Program Administrator/Community Outreach role is integral to the success of Ballads programs in High Level, Alberta. This dual-focused position combines administrative support for participants with active community engagement to raise awareness of Ballads offerings. The successful candidate will ensure program operations run smoothly while helping to build connections with local businesses, groups, and community members to expand Ballads reach.

Key Responsibilities

Program Administration

  • Provide administrative support to participants and team members to facilitate the successful delivery of Ballads programs.
  • Maintain accurate and detailed participant records through data entry and file management.
  • Ensure program spaces are clean, organized, and stocked with necessary supplies.
  • Conduct follow-ups with past participants to assess their post-program progress and provide additional support when needed.
  • Support the intake process, ensuring new participants are effectively onboarded into the program.

Community Outreach

  • Build and sustain relationships with local businesses, community groups, and other stakeholders to promote Ballads programs and services.
  • Seek out opportunities to represent Ballad in the community, including identifying local events, networking opportunities, and other forums where Ballads presence can add value.
  • Collaborate with the marketing team in Edmonton to develop and execute outreach strategies tailored to High Level and the surrounding area.
  • Promote Essential Skills to Success (ESTS), a program designed to help participants overcome barriers to employment through practical skills training and soft skills development.
  • Advocate for Employer Edge, which offers free HR support, tools, and advice to local businesses to help them thrive.
  • Act as an ambassador for Ballad, ensuring our brand and programs are well-represented across the community.

Qualifications

  • Strong organizational and administrative skills, with an eye for detail and accuracy.
  • Excellent communication and interpersonal skills, capable of engaging diverse audiences.
  • Ability to identify opportunities for community engagement and independently plan outreach activities.
  • Proficiency in data entry and maintaining accurate records.
  • Familiarity with community outreach strategies and a passion for building connections.
  • Valid drivers license and access to reliable transportation are required.
