We are currently seeking a highly skilled and motivated Construction Administration Coordinator to join our exciting organization! As a key member of our team, you will report directly to the Director of Construction Management as you provide administrative assistance to the construction leadership team, assist with project management tasks, and ensure smooth communication between departments. This multi-faceted role will contribute to project management, implementation, supporting the administration side of construction, and training of computerized solutions that contribute to the overall success of the construction department.
This position is based out of our head office in Kelowna, BC.
Key Responsibilities
- Provide administrative support to construction leadership team members, including VP of Construction, Director(s) of Construction, Chief Estimator, Procurement Manager, Corporate Health & Safety Manager, and Warranty/Equipment Manager.
- Assist the VP in administrative duties including Outlook calendar and email maintenance.
- Provide project assistance with building out PowerPoint presentations and Excel spreadsheets
- Maintain accurate project data in SharePoint, including adding new projects and updating existing information.
- Ensure all project-related documents are organized and accessible.
- Build, maintain, and action training programs for systems and software used by the construction team (Procore, SharePoint, etc.)
- Assist project teams with the setup of systems at the start of a project.
- Attend project meetings as required to assist with processes (e.g., close-out), to gain an understanding of issues that projects are running run into and assist with solutions.
- Assist with report writing, including weekly project information updates.
- Complete all company-related travel bookings for the construction team.
- Coordinate team activities and workshops for the construction team.
- Liaise with construction department team members and other relevant stakeholders to ensure effective communication.
- Support onboarding and offboarding efforts for the construction team, in partnership with the People and Culture team.
Qualifications and Experience
- High school diploma, GED or other equivalent
- Construction or engineering related diploma an asset
- Experience using SharePoint
- Advanced computer literacy including advanced working skills of MS Word, Excel, PowerPoint, and email
- Outstanding written and verbal communication skills
- Excellent organizational skills and the ability to prioritize tasks effectively
- Strong attention to detail and accuracy in all work
- Discretion and confidentiality in handling sensitive information
- Flexibility to adapt to changing priorities and deadlines
