Our client is seeking a proactive and bilingual Marketing & HR Assistant to join their team. This full-time hybrid position, based in Montreal, offers a unique opportunity to support both human resources and marketing initiatives while reporting directly to the SVP of Operations. The ideal candidate must be fluent in both English and French, highly organized, and capable of managing diverse responsibilities in a dynamic environment.
- Post, review, and monitor job vacancies across various platforms, including Indeed, LinkedIn, and the company website.
- Assist with reference checks, background checks, and managing all onboarding and off-boarding documentation.
- Schedule and coordinate interview times between hiring managers and candidates.
- Screen applicants, track recruitment metrics, and report on trends throughout the hiring lifecycle.
- Provide comprehensive administrative support to senior leadership, including scheduling, travel arrangements, presentation preparation, and meeting coordination.
- Leverage AI tools and other technology to optimize business practices such as document management, meeting organization, and planning processes.
- Draft and coordinate internal and external communications, ensuring clarity and professionalism.
- Accurately translate documents and presentations between English and French.
- Prepare and organize meeting materials, including PowerPoint presentations, Excel documents, and action plans.
- Develop and maintain an online document management system with version control for efficient filing and accessibility.
- Manage and update the stakeholder contact database.
- Maintain the corporate calendar and associated records, ensuring all documentation and actions are up to date.
- Support or coordinate weekly meetings, including documentation and follow-up on action items as needed.
- Support the company's social media strategy in collaboration with the sales and marketing team.
- Manage and update social media accounts, ensuring consistency with brand standards.
- Assist in organizing and executing promotional events as required.
- Create and schedule daily posts on social media platforms (LinkedIn, Instagram, Facebook, TikTok) in alignment with the company's branding guidelines.
- Respond to and triage external inquiries from the hotline, website, and other sources, ensuring timely and professional communication.
Qualifications
- Must be bilingual fluent in French and English
- Post-secondary education in HR or Marketing
- Experience across all social media platforms
- Experience in recruitment and with ATS
- Experience in an administrative support role supporting C- Level executives
- Intermediate to advanced Word, PowerPoint, Excel and Outlook skills.
- Attention to detail and exceptional time management skills
- Strong teamwork and collaborative skills
- Excellent written and verbal communication skills
