With a focus on enhancing the lives of their residents and creating an exceptional workplace for their 1,000 team members, they are seeking an Executive Assistant to support the leadership team and contribute to their mission of making a positive impact every day.

Executive Support

  • Provide executive administrative support to the senior leadership team, including managing schedules, coordinating travel, preparing presentations, and organizing meetings, agendas, and itineraries.
  • Leverage and adapt modern tools, including AI, to enhance efficiency in document management, meeting coordination, action planning, business plan development, and communications.
  • Manage and prioritize external requests and inquiries received via the hotline, website, and other sources
  • Maintain the corporate calendar and ensure the associated records, documentation and actions are accurately maintained
  • Support and coordinate weekly meetings as needed, including preparing materials and documenting key actions and milestones
  • Prepare and organize meeting materials, such as PowerPoint presentations, Excel documents, and detailed action plans
  • Establish and maintain an efficient online document management system with version control to ensure accurate reporting and streamlined filing
  • Maintain an up-to-date stakeholder contact database
  • Communicate effectively, both verbally and in writing, while managing various aspects of internal and external communications

HR Administration

  • Manage job postings across all platforms, including Indeed, LinkedIn, and the company website, ensuring accuracy and visibility
  • Assist with conducting reference and background checks, and handle all necessary documentation for onboarding and off-boarding processes
  • Coordinate interview schedules between hiring managers and candidates as needed
  • Maintain and update records of HR vacancies and recruitment progress

Marketing Administration

  • Provides support for the company social media strategy working with the sales and marketing team
  • Oversee and update social media accounts in accordance with brand standards (LinkedIn, Instagram, Facebook)
  • Assist with organizing promotional events as required +

Qualifications

  • At least 3 years of experience in administrative support, specifically working with C-Level executives
  • Proficiency in MS Word, PowerPoint, and Outlook; intermediate-level knowledge of Excel
  • Expertise in managing social media platforms
  • Post-secondary education in a relevant discipline
  • Exceptional written and verbal communication, with a strong focus on clarity and precision
  • Excellent organizational abilities and time management, with a keen eye for detail
  • Proven ability to collaborate effectively as part of a team
