What are we looking for?

Inbox Design Inc. is currently seeking a Head of Operations to join our Vancouver office. This role is designed to oversee all aspects of fulfillment operations to ensure efficient and timely processing, shipping, and delivery of products. This leadership role involves managing the end-end supply chain, developing fulfillment strategies, optimizing processes, and leading a team to deliver a high standard of customer service. The ideal candidate will have a strong background in logistics, warehouse management, and process optimization, with a keen focus on operational excellence and customer satisfaction all within a dynamic startup environment.

Key Responsibilities:

• Develop and execute the fulfillment strategy in line with company goals. Establish short and long-term operational objectives, focusing on efficiency, scalability and cost optimization.
• Manage Fulfillment budget, controlling operational costs while maintaining high service standards. Ensure effectiveness in shipping, warehousing and distribution operations.
• Oversee scheduling of white glove delivery and installation services.
• Work with and maintain strong relationships with freight vendors, installation contractors, warehouse partners, and internal teams to guarantee timely deliveries and high-quality service.
• Proactively identify and resolve logistical issues, implementing solutions to prevent future delays.
• Oversee customer communication including receiving and resolving customer complaints, repairs, and warranty, finding the best most cost effective solution for each case.
• Oversee communication with customers to gather essential logistics information for shipping and installation, ensuring customer satisfaction.
• In partnership with logistics team, oversee coordination of delivery arrangements with Freight and Moving Partners, ensuring timely and safe delivery of products.
• Prepare and manage customs clearance paperwork, adhering to all legal and regulatory requirements.
• Undertake additional administrative and strategic tasks as needed to support the logistics function at Inbox Booths.

Qualifications:

• 5+ years of experience in fulfillment, logistics, or warehouse management with at least 2+ years in a senior leadership role.
• Ability to work in-office in Vancouver, with flexibility for remote work.
• Experience within a fast-paced, high-growth startup environment, with the ability to scale fulfillment operations efficiently.
• Exceptional organizational skills and the ability to manage multiple projects and deadlines effectively.
• Strong communication skills, with the ability to diffuse complaints from customers.
• A detail-oriented mindset with a focus on process improvement and efficiency.
• Fluent in English, both written and verbal, with professional communication skills.
• A proactive problem-solver who is open to learning and continuously improving processes.
