About the Role:

Under the supervision of the Human Resources Manager, the Human Resources Coordinator will work in many areas of Human Resources, with a particular emphasis on: HR systems, onboarding, employee relations, and training and development.

The successful candidate will have a demonstratedability to work on multiple projects/tasks with a high degree of accuracy and strong attention to detail.

Role Type: Full Time

Hours of Work:35/wk, M-Fri

Qualifications:

  • Completion of Post-Secondary education in Human Resources or Business Administration; alternative education and/or experience may be considered
  • Minimum of 1 year progressive experience in an administrative role with a focus on Human Resources
  • Preference given to candidates who are already registered or have the capacity to be registered with a professional association (HRPA)
  • Knowledge of Ontario employment legislation and Health and Safety legislation required
  • Completion of JHSC training and certification an asset
  • Superior computer skills, specifically with Microsoft Office required
  • Experience with PolicyTech or similar electronic policy management tools an asset
  • Knowledge of PHIPA, PIPEDA, and/or other privacy legislation/processes an asset
  • Access to reliable transportation
  • Lived experience related to addictions and/or mental health an asset
  • Security clearance conducted by PWGS Canada will be required

Role Responsibilities:

Training and Onboarding Support

  • Organize and manage new employee orientation, on-boarding, and training activities for all new staff including:
    • Launching onboarding information in the HRIS and online training platforms
    • Booking orientation activities with staff and supporting team members
    • Launching corresponding training checklists (e signature documents)
    • Liaising with other departments (Finance/Leadership/Operations) to validate attendance at training and orientation events
  • Organize ongoing staff training using online booking system; Liaisewithprogram mangers and operations to support event bookings and registrations
  • Ensure documentation is complete, filed appropriately and meets Agency compliance standards
  • Manage administrativetasks related to training and development, including launching training feedback forms and training acknowledgement forms

Employee Benefit Plan Administration

  • Responsible for accurately entering all benefit forms to the Plan Administrator (PA) Site
  • Updating the PA site to process plan member change requests and employment status changes
  • Performing Audits of PA sites on a quarterly basis
  • Provide support to staff with questions related to benefit package
  • Other tasks related to Benefit Administration as assigned by the Human Resources Manager

Scheduling Support and Communication Systems

  • Serve as the main administrator for the automated employee "on-call" notification system
  • Ensure employee contact information is current, and updated based on staff team changes
  • Provide consultation for basic Manager or Employee questions concerning use of system

Documentation and Administrative Support

  • Support the Agencys Performance Evaluation (PE) process through PE platform management
  • Prepare and launch Human Resources related documentation through e-signature platform, as directed by the Human Resources Manager
  • Create, organize update, and maintain HR related forms, templates, documents, and PowerPoint presentations; Ensure materials follow Agency formatting guidelines
  • Provide administrative support to the Agency's employee policy platform to ensure materials follow Agency formatting guidelines; Support other Administrativeteam members engaging in this same work, in other program areas
  • Support in periodic file and documentation compliance audits
  • Other tasks as required to support Human Resources as required
