POSITION: ADMINISTRATIVE ASSISTANT

HOUR OF WORK: FULL-TIME, PERMANENT (35 HRS/WEEK)

REPORTS TO: Wellness Director

WAGE: $29.00 - $31.00/per hour

POSITION SUMMARY:

Reporting to the Interim Wellness Director, the Administrative Assistant provides essential high-level administrative support to the Interim Director of Wellness and Governance Support, contributing to the wellness programs and governance functions of Chief and Council. This position is integral to advancing the Nation's goals in governance and wellness, fostering community well-being, and empowering Nation members through organized, efficient, and proactive support.

DUTIES AND RESPONSIBILITIES

  • Manage the Interim Director's calendar, coordinate and schedule meetings, appointments, and community events, ensuring preparedness by organizing agendas, materials, and necessary follow-ups.
  • Attend and document meetings, prepare accurate minutes, and manage records, action items, and project tracking to support timely decision-making and accountability.
  • Assist with report writing, briefing notes, presentations, and correspondence on behalf of the Director, maintaining confidentiality and cultural sensitivity.
  • Assist with grant and funding applications, tracking deadlines and ensuring compliance with requirements, to support wellness and governance programs.
  • Attend and document Chief and Council meetings, preparing accurate minutes and creating and filing Band Council Resolutions, to maintain a clear record of actions and outcomes.
  • Work closely with the Wellness Director to report on activities and advocate for additional resources or policy adjustments as needed

EDUCATION AND EXPERIENCE

  • Proven experience as an Administrative Assistant, or similar role, ideally within Indigenous organizations or government sectors.
  • Strong written and verbal communication skills, with attention to detail and accuracy.
  • Excellent time-management and organizational abilities, with the capacity to manage multiple priorities and deadlines.
  • Familiarity with Chief and Council governance, wellness, and community health initiatives in First Nations contexts is an asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with project management tools.
  • Knowledge of SȾÁUTW̱ First Nations cultural protocols/traditional practices is desirable.
  • Knowledge of relevant legislation related to child/family services and an understanding of the Duty to Report.
  • Ability to maintain strict confidentiality in performing the duties of the Administrative Assistant. Must adhere to the SȾÁUTW̱ First Nation Standards of Conduct.
  • May represent SȾÁUTW̱ First Nation externally in a manner that enhances SȾÁUTW̱ First Nation's credibility and reputation.

  • Sound organizational skills and extremely detail-oriented;
  • Advanced verbal and written communication skills including the ability to provide, obtain or follow clear, concise and accurate information orally and in writing (including spelling, grammar, context and structure);
  • Ability to exercise initiative and courtesy and to assess situations and recommend solutions;
  • Ability to work independently with limited direction, act on own initiative, set own priorities and meet tight or changing deadlines;
  • Ability to maintain strict confidentiality and to exercise sound judgment and discretion when dealing with sensitive issues;
  • Ability to foster and maintain positive working relationships with colleagues and external contacts;
  • Strong work ethic including the ability to take initiative; to attend work on a regular and consistent basis, and to demonstrate a collaborative approach to problem solving.
