The Office & HR Administrator will be responsible for providing crucial administrative and reception support to all brands, ensuring organizational efficiency. This role also contributes to tactical HR projects, facilitating their successful execution, while projecting a professional and courteous image to guests and internal customers, enhancing the organization's overall effectiveness.

What you will be responsible for:

Reception:

  • Answer incoming calls, direct inquiries, and provide assistance.
  • Manage voicemail, emails, and faxes, ensuring timely responses.
  • Welcome and assist on-site visitors, ensuring a professional impression.
  • Professional presentation of the office environment at all times.

Administrative Support:

  • Support senior leadership with incidental administrative tasks including scheduling, correspondence, expense reports, etc.
  • Supports the management of limited and competing resources for senior leadership.
  • Creating and tracking purchase orders.
  • Handle mail, both incoming and outgoing, efficiently. Maintain office supplies inventory and oversee vendor relationships.
  • Ensure a clean and organized workspace, including reception areas and meeting rooms.
  • Manage Business Licenses, keeping them updated as required.
  • Update organization charts.

Facilities and Security Management:

  • Maintain the FOB Key system and control access permissions.
  • Oversee the safety and cleanliness of office spaces and facilities.
  • Collaborate with vendors to ensure inventory of supplies and PPE.

HR Assistance:

  • Provide tactical support for HR projects and initiatives.
  • Draft Confirmation of Employment Letters.
  • Manages the removal of inactive employees from the HRIS system during the offboarding process.
  • Assist in organizing and executing HR-related events or meetings.
  • Process and update employee information in HRIS (Human Resources Information System).
  • Oversees the execution of celebrations and the distribution of tokens of appreciation for various employee service milestones.
  • Manages all legal requests in a timely manner.

What we need from you:

  • High school diploma or equivalent.
  • Advanced administrative experience with a high level of skill and professionalism in an administrative role.
  • Minimum of 5 years experience in a corporate office environment in similar roles.
  • Familiarity with HRIS and other HR-related software.
  • Proficient in computer-related programs such as Google Workspace (Gmail, Sheets, Docs)
  • Excellent interpersonal skills, including verbal and written communication.
  • Ability to work effectively and cohesively within a team, as well as independently.
  • Attention to detail with a high level of accuracy.
  • Ability to handle sensitive information with discretion.
  • Action Oriented - Taking on new opportunities and tough challenges with a sense of urgency, high energy, and enthusiasm.
  • Balances Stakeholders - Anticipating and balancing the needs of multiple stakeholders.
