We are seeking a seasoned Executive Assistant to become part of our lients Charlottetown, PEI team. The successful candidate will demonstrate integrity, a drive for professional growth, proactivity, and a thorough understanding of the executive assistant role.
Key responsibilities include:

  • Reminding the CEO and Presidents about critical tasks and deadlines.

  • Conducting business support analysis and coordination while adhering to company policies and procedures.

  • Organizing corporate events both within and outside the workplace, including fundraising and staff appreciation events.

  • Managing and processing expense reports, invoice approvals, and professional registrations.

  • Facilitating activities and the recruitment of association members.

  • Crafting and preparing correspondence, presentations, and reports with high professionalism and presentation standards.

  • Writing, reviewing, proofreading, and editing documents, reports, speeches, presentations, and correspondence.

  • Managing client events, including venue sourcing, invitations, and all logistical details.

  • Handling, coordinating, and maintaining calendars and mailboxes, scheduling appointments and meetings, and preparing documents, letters, and presentations.

  • Answering and tracking calls from external suppliers and handling partnership requests from advertising agencies, posters, and sponsorship inquiries.

  • Overseeing and confirming the CEO and President's schedules, appointments, meetings, and social events.

  • Monitoring and contributing to social media campaigns.

  • Reviewing incoming mail for the CEO and President, redirecting correspondence as instructed, and maintaining follow-up.

  • Drafting memos, letters, and other correspondence from verbal or written instructions.

  • Preparing agendas and recording minutes for Senior Management Team meetings.

  • Providing the CEO and President with background materials for meetings and appointments.

  • Coordinating all travel and accommodations for the CEO and President, and preparing, submitting, and entering travel claims.

  • Maintaining close contact and a positive working relationship with departmental personnel and the Senior Management Team.

  • Assisting the Senior Management Team with business-related interactions with all levels of government, respective agencies, partners, and the private sector.
