We are looking for an organized and reliable Accounts Receivable – Administrative Assistant to support our team with essential administrative tasks. The Accounts Receivable – Administrative Assistant will assist with data entry, billing support, and maintaining accurate financial records.
Key Responsibilities:
- Administrative and Customer Service:
- Provide administrative support to management.
- Tend to project based work at management's request.
- Input and facilitate information transfer to new software system.
- Maintain organized files and records of invoices, receipts, and correspondence.
- Contact customers as needed to inform them of delays and communicate revised timelines.
- Ensure accuracy of date and time of rental equipment.
- Return customer calls and respond to customer complaints with the highest level of professionalism.
- Assist the Dispatcher with planning, prioritizing, and distributing routes for drivers
- Accounts Receivable:
- Assist in preparing and sending invoices, ensuring all details are correct.
- Update billing systems with customer information and account status.
- Help respond to basic client inquiries related to invoices and payment terms.
- Conduct account receivable and collection calls.
- Code supplier invoices
- Support in reconciling accounts by cross-referencing payments and records.
This is a full time position from Monday-Friday. Pay will start at $20 per hour.
Requirements
- 1+ years in an administrative or accounts receivable support role is preferred.
- High school diploma or equivalent required; some college coursework in accounting is a plus.
- Strong knowledge of Microsoft Office and comfortable learning new software systems.
- Strong attention to detail and organizational abilities.
- Good communication skills for assisting clients and team members.
- Comfortable making collection calls and a willingness to learn.
