The First Nations Summit (FNS) is a provincial First Nations organization committed to advancing discussions with the governments of Canada and BC to support First Nations in conducting their own direct treaty negotiations. The FNS provides a forum for First Nations in BC to address issues related to Treaty negotiations, First Nations Title and Rights issues, as well as other issues of common concern.

Our work involves taking a leadership and advocacy role on a full range of issues affecting First Nations, including negotiations and implementation of treaties, agreements, and other constructive arrangements, as well as day-to-day social and economic issues.

ABOUT YOU

As the Records & Information Management Coordinator, you will report to the Executive Director and be responsible for managing and developing the Summit's Records Management program. You will oversee the maintenance and security of the organization's physical and electronic records, manage filing systems, and play a key role in overseeing the organization's digital infrastructure.
This is a role for someone who is detail-oriented, highly organized, and excited about leading records management initiatives within a progressive and collaborative environment.

A DAY IN THE LIFE

  • Manage records and information systems, including the creation, storage, retrieval, and disposal of records.
  • Maintain security and confidentiality of sensitive physical and electronic records.
  • Oversee the organization's website updates and ensure its content remains current and accessible.
  • Provide basic IT support to staff, troubleshooting issues, and ensuring smooth day-to-day operations.
  • Serve as the primary point of contact for the IT consulting company, liaising on IT-related needs, projects, and upgrades.
  • Ensure compliance with legal retention and disposition requirements for all records.
  • Supervise and develop the Records Management Assistant and other support staff.
  • Provide expert advice on records management and information systems improvements.
  • Manage digital information systems, particularly in SharePoint and Collabware.
  • Develop and recommend updates to the FNS Records Management procedures and policies.
  • Prepare reports, briefing notes, and compile statistical data to support FNS operations and projects.


WHAT YOU BRING TO THE TABLE

  • A minimum of 3 years of experience in records management at a senior level, preferably within a First Nations organization.
  • Strong understanding of legislative requirements related to records management.
  • Advanced knowledge of Microsoft Office, databases, records management software, SharePoint, and Collabware.
  • Ability to provide basic IT support and manage liaison with external IT consultants.
  • Strong attention to detail with the ability to manage highly confidential materials.
  • Demonstrated ability to lead and train staff in records management procedures.
  • Strong interpersonal skills with the ability to communicate complex information effectively.
