Job Overview
ICON Creative Studio is seeking an organized, proactive, and personable Receptionist & Administrative Assistant to join our team. In this multifaceted role, you will serve as the studio's first point of contact for employees, clients, and visitors while providing critical support to both the HR and facilities teams. This is an entry-level position that offers a unique opportunity to grow your skills in office administration, HR, and facilities coordination in a creative and fast-paced environment.
Key Responsibilities
- Greet employees and clients warmly, ensuring a welcoming and professional studio environment.
- Direct visitors to the appropriate person or department with efficiency and courtesy.
- Handle incoming calls, emails, and inquiries promptly and professionally.
- Maintain a tidy, organized, and presentable reception area that reflects the studio's high standards.
- Open and/or close the studio, ensuring security and readiness for daily operations.
- Assist HR with administrative tasks, including filing, data entry, and document audits.
- Conduct audits and assist with data entry, ensuring accuracy and confidentiality.
- Provide orientation for new hires and employees returning to on-site work.
- Support onboarding processes by preparing documents and assisting with new hire setup.
- Provide coverage for and assist the facilities team at the main location as needed.
- Coordinate with facilities to manage office supplies, deliveries, and studio logistics.
- Prepare and organize for client visits, ensuring a professional and seamless experience.
- Arrange travel and accommodations for staff or visitors when required.
- Assist with day-to-day studio tasks, such as catering, running errands, restocking supplies, and maintaining shared spaces like kitchens and bathrooms.
- Sort, distribute, and manage incoming and outgoing mail and deliveries.
- Perform clerical tasks such as filing, photocopying, transcribing, and faxing.
Skills and Experience
- Excellent interpersonal skills, with the ability to interact professionally with employees, clients, and visitors.
- Strong ability to multitask in a fast-paced environment and manage competing priorities effectively.
- Extreme attention to detail and commitment to accuracy in all tasks.
- Proficiency with Google Docs applications and general office tools.
- Excellent written and verbal communication skills.
- At least 1 year of office experience, with experience in the entertainment industry considered an asset.
- A professional and positive demeanour, with the ability to maintain composure in all situations.
- Strong organizational and problem-solving skills, with the ability to work independently.

The wage range for this role reflects compensation across all of ICON's projects. The final salary will be determined based on the specific position, the current show assignment, and the applicant's experience and portfolio. This range accounts for varying levels of experience and responsibilities.
