Position Summary:
The Scheduler is responsible for providing support to all Rygiel departments by managing the day to day schedule changes and requests in the scheduling (time and attendance) software.
This role will be expected to work as a team member within Rygiel Supports for Community Living in a way that continually strengthens the health of the organization and contributes to the vision through effective deployment of scheduling tasks, services and supports.

Job Duties & Responsibilities:
- Update scheduling software (ComVida) for scheduling changes including entering schedules, making adjustments as needed, shift exchanges, requests for time off or any other matters that will alter the schedule prior to posting as well as after it has been posted.
- Interpret the Collective Agreement for support staff requiring time off, sick time, etc. and consistently apply the Collective Agreement in the development and posting of schedules.
- Approve and process shift exchange forms, request for time off forms, shift replacements after the schedule has been posted as per Collective Agreement.
- Assist with reviewing and responding to employee payroll inquiries.
- Handle all the calls respectfully and professionally consistent with an excellent and responsive phone manner.
- Active ‘hands on' member of the scheduling department who supports the scheduling team in their day-to-day tasks.
- Diligent in optimizing resource utilization and minimize overtime costs while ensuring fiscal responsibility within the organization.
- Efficiently manage sick calls and ensure sufficient coverage to meet the needs of the people supported.
- Offer guidance and assistance to the Scheduling department through:
- Analysis of staffing needs
- Assist in the development of base rotations that are responsive to the needs and support requirements
- Maintenance of schedules that ensures fairness, equity and consistency and are in keeping with the Collective Agreement and the Employment Standards Act.
- Track trends in staff attendance (absenteeism)
- Other duties as assigned
Education & Experience:
- 3+ years scheduling experience working in a unionized environment.
- Relevant post-secondary education in general office administration or business attained through college education or equivalent proven practical work experience. Advanced level knowledge in MS Excel and MS Office (365) Suite.
- Experience working in an office environment and as part of a team.
- Experience utilizing time and attendance or other scheduling software/platforms, updating settings/ codes, entering adjustments and producing reports.
- Experience in preparing adhoc reports (excel, adobe, powerpoint) and effectively presenting information to senior management and other stakeholders.
- Experience working in the area of health care or related non-profit sector is an asset.
Skills & Requirements:
- Must be able adaptable and capable of managing stress in fluctuating environment.
- Ensuring processes are followed to be fiscally responsible.
- Ability to maintain constructive, positive, open, honest, two-way communication with manager, supervisor, colleagues and employees.
- Strong initiative, organizational, attention to detail and time management skills, with the ability to properly prioritize, delegate and complete assigned tasks within deadline.
- Analytical and practical approach to problem solving, with a strong sense of urgency.
- A current, original copy of a clean vulnerable sector Criminal Records Check is required prior to start.
- Bilingualism (French/English) is an asset.
