Service/Warranty Advisor

The service/warranty advisor will work in a fast-paced environment where you will work closely with the service manger and technicians to keep the shop running smoothly. Reporting to the service manager, this role offers challenges as you'll have a chance to work with the latest technology, giving you an opportunity to showcase your skills and experience. Service Advisor- Responsibilities

  • Take service calls, schedule & update appointments in service calendar, provide customer service on the telephone and in person upon arrival at the dealership, help with other branch calls as necessary when their departments are busy
  • Create, monitor progress of and close work orders, keep customers advised of any changes to repairs and advise them upon completion
  • Create and update repair estimates and communicate with customers for repair authorization and continuous updates on unit repair status
  • Print weekly RO reports for all labor types, help collect, and review completed work orders, monitor, and address pending work order types
  • Check customer account credit limits and work with credit dept. regarding estimates, holds and work order amounts over credit limits, obtain credit authorization forms
  • Check chassis Service Information Record (SIR) and engine specific warranty (MX, QuickServe, and RapidServe) for updates.
  • Check and confirm specific truck, engine and component warranty status, open & close work orders based on correct labor types, monitor shop progress and change labor types to & from warranty, retail, etc.
  • Create PO's, enter sublets to work orders and allocate as necessary, and ensuring po's are closed in a timely manner
  • Organize outside work with local companies for sublets (flywheel turning, DPF cleaning, etc.)
  • Check for & apply any related customer promotions, discounts, or coupons to work orders
  • Work directly with Foreman/Manager planning and organizing for smooth operations of the service shop
  • Handle customer service complaints, issues, requests, and questions in person, via telephone or email
  • Check stock chassis and keep care of stock truck requirements current
  • Work with Kenworth PremierCare Assistance for customer roadside calls and update using reference number
  • Check any customers that are on Paccar Fleet Billing and bill according
  • Operate photocopiers, fax machines, scanners, and other office equipment
  • Coding payables and processing customer payments

Warranty & Administration-Responsibilities

  • Check for new, review and stay current of warranty updates, bulletins, campaigns, and their procedures, distribute throughout department
  • Work with foreman and technicians to ensure warranty procedures are correct within repair plans and claim stories to maximize SRT recovery, have appropriate Cummins EDS, MX SupportLink Case numbers, and any vendor RMA's or equivalent.
  • Filing, processing paperwork, reviewing work orders
  • Reviewing and processing/submitting warranty registrations for engine warranty inspections and overhauls (OPT, NOW, Encore, etc.)
  • Work within policy request system procedures for Kenworth and Cummins
  • Be responsible for monitoring and maintaining open work order reports
  • Responsible for administering and processing warranty claims, returning warranty parts and efficiently track and keeping current on warranty claims and cores, maintaining the warranty parts room
  • Communicate with and advise central warranty dept. when RO's are ready to close/submit and on allocation for charges or credits to customers
  • Filing, organizing, and preparing internal and external mail
  • Managing and matching PO's to invoices, processing, electronic copying to file and forwarding to payables dept.
  • Assist manager with supervising/adjusting service dept. time punches for payroll, monitor & reconcile DSI and Avanti time clocks, make necessary changes to tech and work order times
  • Be highly organized with processing paperwork, filing and ability to multitask

  • Be able to speak, read, write, and comprehend to ensure effective communication with employees and customers.
  • General computer and software diagnostics skills.
  • The ability to withstand work-related deadlines and pressures.
  • Must be able to sit, kneel, lift, walk, and carry for extended periods.
  • Must be able to travel to the US for additional technical training
  • Some Knowledge in Heavy Truck industry considered an asset
  • Previous advisor/warranty experience an asset
