Position overview

The Office Manager will be responsible for ensuring the smooth operation of daily office activities and managing administrative tasks to support team efficiency. This role includes overseeing office resources, coordinating with vendors, and fostering a welcoming, organized, and productive work environment for employees and visitors alike. The ideal candidate is proactive, detail-oriented, and capable of managing multiple responsibilities with a high level of professionalism.

Duties and responsibilities include but not limited to:

Office Administration& Organization

  • Handle incoming and outgoing correspondence, including emails, phone calls, mail and shipping.
  • General administrative support to various departments.
  • Assisting in managing the Office Budget.
  • Work closely with IT to ensure meeting rooms are ready for meetings.
  • Manage inventory for office supplies, furniture, and equipment, placing orders as necessary.
  • Develop and implement office policies and procedures to improve efficiency.
  • As a member of the JHSC, ensure the office maintains compliance and identify improvement areas.
  • Other administrative duties as needed.

Vendor & Resource Management

  • Act as the primary point of contact for office vendors (e.g. cleaning services, Shred-It).
  • Negotiate and manage contracts to secure cost-effective agreements with office service providers.
  • Coordinate with facilities management on repairs, maintenance, and other building-related issues.

Team Support & Event Coordination

  • Plan and organize office events, team-building activities, and company meetings.
  • Be a member of the culture committee, The Eunity Crew, creating events and volunteering initiatives.
  • Support employee onboarding by setting up workstations, coordinating equipment, and preparing welcome materials.
  • Facilitate communication within the office by managing information distribution and notices.

Qualifications

  • A post-secondary diploma, or equivalent.
  • 3+ years of related experience as an Administrative Assistant, Office Coordinator, Office Manager, or in a similar role.
  • Full proficiency in MS Office (Word/Excel/PowerPoint).
  • Previous experience with Concur, Jira, and Adobe an asset.
  • Strong attention to detail and problem-solving ability.
  • Time management skills and the ability to multitask and prioritize work.
  • Ability to work independently and handle changing needs.
  • Enjoy working in a fast-paced environment.
  • Able to lift at least 50 lbs.
  • The ability to be in the Oakville office 3 days a week (additional days as needed).
