We are currently looking for an Office Administrator to join our team in Mississauga!

Location: Mississauga office, Monday - Friday

DESCRIPTION:

The Office Administrator is a brand ambassador who champions how we do things at Broccolini and breathes life and energy into our day-to-day. Primarily, this individual is responsible for maintaining a well-organized, efficient, and enjoyable work environment for all employees. They will assist with employee social events, manage the daily employee lunch program, contribute to trade appreciation and field events, research charitable outreach programs, assist with employee uniform management and stock inventory, and be a reliable resource for various ad-hoc tasks.

The ideal candidate must be available for in-office work Monday through Friday, highly adaptable, and strive to ensure the smooth operation of the office. This is a full-time position with typical hours between 8AM – 5PM however, requires some flexibility around events that take place outside these hours. The Office Administrator reports to

RESPONSIBILITIES:

  1. Employee Lunch Program: Broccolini provides its office employees with access to lunch utilizing a third-party vendor. This role is responsible for:
    • Ensuring employees access a clean, organized, and pleasant dining space during their lunch breaks.
    • Work with catering vendors to ensure an appropriate amount of food is ordered daily, ensuring the practice of extreme diligence with dietary restrictions.
    • Coordinate the delivery or pick-up of food from various vendors around the office – this employee must provide their own vehicle.
    • Create the weekly lunch program, ensuring the meal schedule stays fresh and exciting for employees.
    • Manage the lunch sign-up schedule and communicate requests weekly with the catering vendor or as often as needed.
    • Diligently review invoices weekly to ensure accuracy.
    • Setup and Maintenance:
      • Ensure dining tables, chairs, and utensils are organized.
      • Ensure the lunch area is clean, sanitized, and well-maintained throughout the day.
      • Monitor and replenish condiments, napkins, and other supplies as needed.
    • Stock Management
      • Keep track of inventory for supplies and request restocking when necessary
      • assist in managing inventory for office snacks and beverages
    • Safety and Compliance
      • Report any maintenance or safety issues to the appropriate personnel.

2. Event Coordination

  • Assist the Marketing team with the Broccolini events calendar, ensuring cadence of events, accessibility, and equity.
  • Participate in the Toronto Social Committee, collaborating to organize and execute various events that foster community engagement and a positive work environment.
  • Plan and execute events, including procurement, processing POs and invoices, and executing tasks.
  • Provide support for office events or meetings, including setup, serving, and cleanup as needed.
  • Collaborate with the P&C team to coordinate company milestone testimonials by sending out emails, collecting responses, posting on the intranet, and maintaining monthly updates.

3. Charitable Outreach and Sponsorships (Toronto)

  • Work with the Marketing Specialist, Marketing and Creative Director, and VP of Construction to establish an annual charity and sponsorship calendar and allotment of funds.
  • Develop relationships with various charities to understand their needs and help funnel Broccolini donations to relevant causes/initiatives.
  • Review analytics frequently to determine what is resonating and where to focus our efforts.

4. Merchandise

  • Assist in the management of the Broccolini Merchandise.
  • Coordinate bulk orders when required.

5. General Administration

  • Coordinating miscellaneous vendors
  • General support for the marketing team with various tasks and assignments.
  • Provide relief/support to reception when reception is away or on lunch.
  • Ensure office space is well maintained and organized.

6.People and Culture Coordination

  • Coordinate and post employee anniversaries on the Broccolini Intranet.
  • Schedule the new hire's first day in office, host office tour.
  • Assign offices and working stations to employees.

QUALIFICATIONS/REQUIREMENTS:

  • Diploma or Minimum 3 years experience in administrative, events, or hospitality related field
  • Proficient in Microsoft Office, specifically Word, Excel, PowerPoint, and Outlook.
  • Strongly skilled in preparing spreadsheets and analyzing data.
