Our management team is looking for a highly organized, tech-savvy Executive Assistant to help them focus on high-impact work. This role is key in helping keep the business running smoothly, supporting the team with day-to-day operations, and contributing to the success of our growing company.
Requirements
Your Responsibilities- Manage calendars, appointments, and scheduling for the CEO and COO, ensuring seamless daily operations.
- Coordinate and prioritize incoming and outgoing communications, handling inquiries or redirecting as appropriate.
- Organize and facilitate team meetings, client calls, and company events, ensuring logistics run smoothly.
- Assist with operational and administrative tasks, including preparing reports and meeting notes, organizing files and tracking key projects.
- Handle records collection and coordination with the bookkeeper to streamline financial tracking.
- Support marketing activities by scheduling social media posts, assisting with event planning, and preparing content drafts as needed.
- Proactively identify and implement process improvements to optimize team productivity.
- Proven experience as an Executive Assistant, Administrative Assistant, or in a similar support role.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent written and verbal communication skills (English), with a keen eye for detail.
- Tech-savvy with experience using productivity and scheduling tools (e.g., Google Workspace, project management software).
- Ability to handle confidential information with discretion.
- Adaptability to thrive in a dynamic, fast-paced environment with evolving priorities.
- Self-driven and motivated to contribute to a tech-focused team.
- Post secondary education (bachelors degree or more preferred, although applied diplomas and certifications will be considered)
- Familiarity with AI/LLM tools and an eagerness to learn and apply new technology.
- Previous experience in tech, law, engineering or similar outcome driven environments
- Basic knowledge of bookkeeping or finance, especially if you have collaborated with external finance teams.
- Experience in marketing support, including social media, event organization, and end-user communication.
- Knowledge of project management tools and workflows (e.g., Asana, Trello) to support ongoing projects.
- A collaborative mindset and enthusiasm for building relationships and supporting a growing team.
- Passion for contributing to a small but impactful company that values growth, curiosity, and effective outcomes.
- Fluency in one or more second languages.
The successful candidate will work at the ECAD Labs Inc. office in Vancouver or from our workspace in the Comox Valley. While hybrid and flexible work structures may be available, this job requires regular in-office attendance.
This is a full-time employment opportunity for residents of Canada, including permanent residents and those with an open Canadian work permit. Part-time or other flexible employment arrangements may be considered for exceptional candidates.
