Medical Office Administrator/Reception,

Part-Time, Full-Time, and Maternity Leave/Fixed Term Contract positions available (0.6 FTE – 1.0 FTE; 22.5 - 37.5 hours/week)

Woolwich Community Health Centre (WCHC), located in St. Jacobs with satellite locations in Wellesley and Linwood requires a dynamic Medical Office Administrator (MOA) to join our team.

Our WCHC MOA team provides support to an inter-disciplinary health care team, primarily through client appointment scheduling, health records management, and general clerical, reception, and administrative support to the health care team.

This position may be deployed to support one or more of WCHC's locations/key services on an as-needed basis. Scheduled days/hours of work will be set according to WCHC's need for medical reception coverage including daytime, evening and possibly some weekend hours if necessary.

Responsibilities will include but not limited to:

  • Providing clerical/administrative support to the multi-disciplinary health team.
  • Confidentiality and adherence to PHIPA.
  • Computer system: Booking appointments, managing schedules, preparing documents, managing messages/completing assigned tasks.
  • Working on-site with appropriate PPE if required, in an ever-changing healthcare climate.
  • Answer incoming telephone calls, greeting in person clients, booking appointments, providing information, or directing appropriately in a professional and efficient manner while following process.
  • Process fee-for-service payments.
  • Ensure a safe, clean, tidy, and secure working environment utilizing relevant occupational health and safety guidelines.
  • Ability to manage interruptions, distractions and changing priorities; must be able to function in a very busy office setting; ability to multitask and manage multiple responsibilities.

Requirements:

  • High School Diploma or equivalent. Preference will be given to post-secondary education in the medical field.
  • Previous MOA experience required within a medical facility.
  • Medical Terminology and ability to triage.
  • Must be proficient in English (fluency in reading, writing, speaking, listening/understanding).
  • Computer and EMR knowledge. Experience with Practice Solutions EMR is considered an asset.
  • Ability to work on-site in appropriate PPE.
  • Exceptional organization and prioritization skills.
  • Detail oriented, accuracy and ownership.
  • Excellent interpersonal and communication skills (written and verbal).
  • Ability to work individually and as a part of our team.
  • Capacity to multi-task in a fast-paced environment under pressure essential.
  • Strong analytical and problem-solving skills.
  • Excellent customer service skills and professionalism.
  • Punctual, courteous, and a positive attitude.
  • Must be able to work at all locations as needed.

The annual full-time salary and entitlements will be pro-rated for part-time positions. Start date and weekly schedule to be negotiated; to begin as soon as possible. Benefits for permanent hires include life insurance, extended health, vision, and dental plans (single and family plan options), HOOPP retirement savings plan, and 4 weeks paid vacation.

Maternity leave/fixed term contract hires will receive 4% in lieu of benefits and the opportunity to join our HOOPP retirement savings plan.
