As an Project Coordinator you will be working as part of a collaborative account team that delivers strategic, creative client programs. Great Coordinators plan, manage, and handle all project and client details in a way that lets team leads feel at ease and assured things are managed.

You are an expert organizer and highly effective at staying on top of multiple projects - each with various moving pieces - thanks to your attention to details and proactive thinking skills, exceptional verbal, and written communication abilities.

Key Responsibilities:

  • Provide support on all facets of client and project planning including administrating and communicating the status of projects.
  • Prepare account and project service-related documents such as meeting agendas, meeting reports, contract reports, proposals and other client communications and correspondence.
  • Participate in and document discussions during client meetings and conference calls.
  • Provide support to our internal teams, predominantly our Client Engagement Advisors and Senior Advisors and assist team on day-to-day client activities, including responding to client phone calls, emails, production and creative deadlines, media placements, etc., to ensure continued progress of client workflow.
  • Serve as a client contact making sure to engage with a high sense of urgency and customer service.
  • Acquire and assemble background information and knowledge of the client's business and analyze to support the development of client documentation.
  • Document and monitor pricing, scheduling, capacity management documentation, and financial management documentation.
  • Open client work tasks & jobs and create PO's in Workamajig and ensure pricing is accurate and aligned
  • Help manage and create tasks for various projects as directed in Monday.com and other project management tools.
  • Handle all paperwork and maintain digital and hard copy files, if needed, on all client activities and their industries; maintain client correspondence file, approvals, copy, forms/documents, supplies for daily processing and tracking of account service work, etc.

Requirements:

  • 2-3 years of experience in project coordination
  • Post Secondary education in Business or similar field is an asset
  • Ability to communicate effectively with clients
  • Proficiency in Microsoft suite, G-Suite and CRM/project management software
  • Ability to juggle multiple projects at once and quickly solve problems with great organizational skills
  • Project management experience
  • Sharp business acumen and a customer centric mindset
