Key Responsibilities
- Provide a warm and professional welcome to clients, visitors, and employees, ensuring a positive first impression.
- Promptly answer and direct phone calls, delivering accurate information and connecting callers as needed.
- Maintain a clean and organized reception area to enhance the office environment.
- Manage inventory of office supplies, including coffee station essentials and utensils, ensuring availability.
- Oversee the functionality of office equipment (printers, copiers) and coordinate timely repairs.
- Track and replenish employee uniforms and kitchen supplies regularly.
- Keep the kitchenette tidy and fully stocked, including routine cleaning and restocking.
- Manage employee records in the time-keeping system (Humanity) and create personnel folders for new hires.
- Organize and maintain an accessible office filing system for efficient document retrieval.
- Coordinate logistics for the monthly Staff Appreciation Lunch and monitor uniform inventory.
- Update office phone lists and assist in scheduling meetings and appointments.
- Handle email communications with subcontractors, managing statement sheets and correspondence.
- Schedule courier services, prepare bills of lading, and oversee mail handling.
- Maintain sensitive company account information, including usernames and passwords.
- Act as Sales Pipeline Manager, ensuring timely updates and accuracy in the Sales Pipeline.
- Coordinate all aspects of internal and external events, including tradeshow logistics.
- Track and manage company assets (cell phones, tablets, computers, office keys) to ensure proper functionality.
- Serve as a gatekeeper for sensitive documents as requested by ownership.
- Manage company memberships and subscriptions, ensuring compliance with industry standards.
- Collaborate with IT to address internal technology needs, including devices and phone systems.
- Act as Super Admin for OneDrive Libraries, managing access and file organization.
- Liaise with department heads to ensure timely updates of company documents.
- Ensure compliance with company insurance, WSIB, certifications, and renewals.
- Collaborate with ownership and vendors on marketing initiatives, including print and digital media.
- Brainstorm and develop engaging social media and podcast content in collaboration with specialists.
Requirements:
- 3+ years of experience as an office administrator or senior front receptionist is mandatory
- Proficient in typing min 50+ WPM, data entry, and information management.
- Familiarity with QuickBooks or similar accounting software.
- Strong organizational skills with attention to detail.
- Proficiency with Google Suite applications.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Strong communication skills, both written and verbal, with a customer-centric approach.
- Experience with front desk operations and administrative duties is preferred.
- Capacity for listening, handling confrontation, and solving problems with tact.
