Project Coordinator (Technical)

We are currently seeking a Technical Project Coordinator with the drive and determination to help us support our client base. This position reports directly to our VP of Sales. We are looking for an individual who is a problem-solver who can help us manage our existing clients and relationships with our vendors. This person must have a diverse skill set and general experience in administration, quoting processes, and purchasing. It's a different set of skills from the beginning of the sales lifecycle to delivery.

Our Project Coordinator is responsible for performing admin tasks, processing purchasing and receiving requests, is a fundamental piece in the quoting process and activities under the direction of the VP of Sales. As a technology company, we are looking for someone who is very comfortable with technology and the rapid change in this industry. Experience in software, hardware, and infrastructure coordination will help streamline our quoting and project efforts, bringing enhanced speed and efficiency to the role. Their skills will assist in developing the organization's perception of existing customers through exceptional customer service and responsiveness. This position requires strong communication skills that will be used when creating documentation and communicating with our clients and vendors. Candidates must be energetic and focused, with a strong motivation to learn new technologies and management processes. This position requires dedication, persistence, follow-up, effective utilization of provided resources and an unbeatable customer service focus. Your code to success is smile.

Job duties include utilizing our professional services automation (PSA) solution, along with other service-specific tools and technologies, to ensure that purchase requests are effectively completed to resolve issues. Strong technical knowledge of both software and hardware infrastructure is an asset, providing additional speed and accuracy in managing technical resources and troubleshooting project-related IT requirements. Overall, relationship management skills and the ability to coordinate required resources to respond to complex IT requirements are desired.

You are not a technician, but you coordinate daily activities with them.

Essential Functions and Responsibilities

  • Process purchasing and receiving activities as directed
  • Entering purchasing activities into Accounting Software
  • Invoicing clients monthly bills
  • Assist with the quoting and purchasing of infrastructure products (hardware and software)
  • Creating estimates and quotes in Accounting Software and our PSAsystem
  • Analyzing data using Excel to provide insight on sales margins
  • Manage vendors and related programs
  • Ensuring that Idealogical is able to get the best pricing for its clients.
  • Maintain inventory levels and accountability of designated corporate assets
  • Assisting general manager in sales reporting
  • Assist in improving customer satisfaction through the creation of process and procedures for the admin department
  • Assist in dispatching resources when required
  • Communication with clients both verbally and written
  • Other duties as assigned

Qualifications

  • Undergraduate degree
  • Proven ability to make effective decisions based on sound business sense
  • Experience in managing or coordinating technology resources, including software, hardware, and IT infrastructure
  • Skilled with organization, decision-making, and time management
  • Excellent customer service skills
  • Excellent verbal and written communication skills
  • Skilled with organization, decision making and time management
  • Ability to work independently and as part of a team
  • Proficient with Microsoft Office applications and the Internet
  • Strong knowledge of Excel, Accounting Software an asset
  • Reliable transportation to our office in Markham, ON
