WHAT YOU WILL DO

Reporting to the Senior Vice President, Operations, you will be responsible for directing the service delivery of The Newly Institute's Edmonton Clinic, with a focus on operational effectiveness, clinical quality, stakeholder relations, financial and people leadership, and business development. You'll work in a fast-paced environment as a collaborative leader to a dynamic multidisciplinary team to deliver client service excellence and strong financial results. You'll take a proactive and influential role in nurturing an exceptional workplace culture that embodies our core values of communication, community, excellence, health, and innovation.

Accountabilities

Financial Management

  • Assist with annual budget/forecast preparation (includes clinic capacity, staffing, operational cost assumptions etc.).
  • Review, analyze and provide insight and monitor budget to actual variances and key performance metrics.
  • Review day to day operations for financial efficiencies and cost savings (e.g., vendor contracts, supplies, etc.).
  • Closely monitor human resources costs and staff utilization.
  • Review and approve program billing (i.e., ensure billing is completed and sent out to WCB and clients on a timely basis).
  • Review and follow up on outstanding receivables.
  • Review and approve clinic spending as appropriate.
  • Review and approve invoices (including, but not limited to, consultant invoices – i.e., Psychiatry, Psychology, General Practitioner, etc.).
  • Perform other ad-hoc financial analysis and audits for the clinic, as requested.

People Leadership

  • Recruit and support the orientation and training of new employees.
  • Oversee all aspects of performance management, performance reviews, and progressive discipline for direct & indirect reports.
  • Provide leadership through coaching and mentoring employees.
  • Promote and support employees to prevent and address conflict or disagreements when required.
  • Communicate Health & Safety initiatives in the clinic to ensure compliance with company policies.
  • Lead by example to promote The Newly Institute's culture.

Operations Management

  • Monitor productivity of The Newly Institute's programs while providing day-to-day oversight and support.
  • Ensure performance maintains compliance with scorecards and contractual agreements (i.e., WCB and other applicable third-party funders).
  • Gather & analyze data and prepare reports for The Newly Institute programs.
  • Continuously evaluate all operations for efficiencies and innovative approaches to program delivery.
  • Achieve performance goals including, but not limited to patient satisfaction, controllable expenses, and operational targets.
  • Closely monitor and manage client schedules to maximize clinic capacity and optimize utilization of clinicians and clinic space.
  • Ensure standards of cleanliness and safety are maintained throughout the clinic.
  • Respond to patient concerns in an effective & respectful manner.
  • Respond to and review all clinic incidents and near misses and take corrective actions when required.
  • Communicate and execute strategic initiatives affecting clinic operations.
  • Manage clinic staffing levels for adherence to the staffing model.
  • Identify and address any existing or new operational risks that arise.
  • Adhere to all provincial or local occupational health & safety (OHS) and infection prevention & control (IPC) requirements, and complete any clinic OHS audits, as requested.

Clinical Quality

  • Ensure consistency and excellence in service delivery, quality, and outcomes for programs.
  • Develop and implement clinical and operational policies & procedures of The Newly Institute Edmonton programs and ensure policy adherence.
  • Hold clinical and administrative teams to highest customer service and clinical quality standards.
  • Analyze data related to marketplace trends, throughput, clinician utilization, business performance and work with senior leadership team to identify opportunities, create and execute action plans, as required.
  • Strive for best in industry clinical outcomes and client satisfaction.
  • Achieve positive patient engagement results.
  • Ensure clinical teams are following best practice and adhering to established organizational, legal, and professional standards of practice.

Business Development

  • Support and execute business development programs and initiatives as directed by the senior leadership team.
  • Foster new and continued relationships with key stakeholders in the return to work, primary care, and medical communities regarding the programs and services available through the Newly Institute.
  • Continuous improvement of existing programs and outcomes data for use in Business Development opportunities.
  • Participate in business development activities in the community (i.e., attend conferences, meetings, industry events, etc.).
  • Support opening of new clinics as directed by senior leadership.

WHAT YOU BRING

Experience

  • A minimum of five years of experience working in a health care setting in a clinical or management capacity is required.
  • A minimum of two years of experience within a WCB (return to work) sponsored contractual clinical environment is required.
  • Equivalences of experience may be considered.

Education

  • A bachelor's degree in Psychology, Occupational Therapy, Social Work, Nursing, Physiotherapy, Kinesiology, or related field is required.
  • A master's degree in a related field is a significant asset.

Professional Registration/Designation

  • Active registration with one of the following institutions is required:
    • College of Alberta Psychologists (CAP)
    • Alberta College of Occupational Therapists (ACOT)
    • Alberta College of Social Workers (ACSW)
    • College of Registered Nurses of Alberta (CRNA)
    • College of Physiotherapists of Alberta (CPTA)
    • Alberta Kinesiology Association (AKA)
  • Professional liability insurance is required.

Technical Competences

Proficiency in the Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams is required. Proficiency with Electronic Medical Records (EMR) systems is also required.
