The reception role is full time: Monday - Friday, from 8:00am - 4:30pm
WHAT YOU WILL DO
- Administrative Support: Provide general administrative support to staff and management, including scheduling appointments, managing calendars, and coordinating meetings
- Reception Duties: Serve as the first point of contact for visitors and handle incoming calls, emails, and other inquiries
- Office Management: Ensure office supplies are well-stocked and manage vendor relationships for office supplies and maintenance services
- Documentation & Filing: Maintain organized filing systems for both physical and digital documents, ensuring easy retrieval of records when needed
- Data Entry & Record Keeping: Update and maintain office records, databases, and contact lists
- Event Coordination: Assist in planning and coordinating social events, meetings, and training sessions
- Communication: Disseminate information to team members and respond to internal inquiries
- Facilities Management: Oversee office cleanliness, coordinate maintenance, and address facilities-related issues as they arise
- Maintain security by following procedures, monitoring logbook, and issuing visitor badges
- Receive and sort daily mail
- Process customer cheques into applicable systems
- Maintain Fleetio and FleetCor records
- Process courier shipments and brokerage for payment
- Reconcile accounts
- Provide support for teams when requested
- Comply with Zelus' Policies and Procedures, the Occupational Health & Safety Act and participate in training programs as and when required
- Ensure compliance with Occupational Health and Safety legislation (OHSA), promote safe working practices including safe equipment operation, hazard reporting, and awareness of rights
- Other duties as assigned
WHAT YOU WILL NEED
- Minimum of one years' experience in similar role
- Previous experience using phone systems, printers, and copiers
- Proficient in Microsoft Office applications (Word, Excel, Outlook, etc.)
- Must be a strong multi-tasker and excel at coping with conflicting priorities and deadlines
- Strong organizational skills
- Strong interpersonal skills; deals with conflict effectively
- Excellent communication skills, both written and oral
- Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial
- Ability to maintain strict confidentiality
