The reception role is full time: Monday - Friday, from 8:00am - 4:30pm

WHAT YOU WILL DO

  • Administrative Support: Provide general administrative support to staff and management, including scheduling appointments, managing calendars, and coordinating meetings
  • Reception Duties: Serve as the first point of contact for visitors and handle incoming calls, emails, and other inquiries
  • Office Management: Ensure office supplies are well-stocked and manage vendor relationships for office supplies and maintenance services
  • Documentation & Filing: Maintain organized filing systems for both physical and digital documents, ensuring easy retrieval of records when needed
  • Data Entry & Record Keeping: Update and maintain office records, databases, and contact lists
  • Event Coordination: Assist in planning and coordinating social events, meetings, and training sessions
  • Communication: Disseminate information to team members and respond to internal inquiries
  • Facilities Management: Oversee office cleanliness, coordinate maintenance, and address facilities-related issues as they arise
  • Maintain security by following procedures, monitoring logbook, and issuing visitor badges
  • Receive and sort daily mail
  • Process customer cheques into applicable systems
  • Maintain Fleetio and FleetCor records
  • Process courier shipments and brokerage for payment
  • Reconcile accounts
  • Provide support for teams when requested
  • Comply with Zelus' Policies and Procedures, the Occupational Health & Safety Act and participate in training programs as and when required
  • Ensure compliance with Occupational Health and Safety legislation (OHSA), promote safe working practices including safe equipment operation, hazard reporting, and awareness of rights
  • Other duties as assigned

WHAT YOU WILL NEED

  • Minimum of one years' experience in similar role
  • Previous experience using phone systems, printers, and copiers
  • Proficient in Microsoft Office applications (Word, Excel, Outlook, etc.)
  • Must be a strong multi-tasker and excel at coping with conflicting priorities and deadlines
  • Strong organizational skills
  • Strong interpersonal skills; deals with conflict effectively
  • Excellent communication skills, both written and oral
  • Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial
  • Ability to maintain strict confidentiality
