The Opportunity
Situated within UJA's Integrated Development Department, the Marketing Team is a leader in the voice and brand of the entire organization, using creative content, design, multimedia, and experiences to engage community members in UJA's mission.
Reporting to the Marketing Director, we're seeking a creative, adaptable and detail-oriented Event Manager to be manage all facets of event planning and coordination for small and large-scale events. The ideal candidate has excellent organizational and communication skills and the ability to multitask, meet deadlines and adhere to a budget.
Responsibilities include, but are not limited to:
- Event concept and ideation for both virtual and in-person events, working closely with Project Lead, Marketing Manager, and Marketing Director to establish strategy, creation and execution of events
- Event Management responsibilities including but not limited to event logistics, venue site inspections and selections, vendor sourcing, risk management and contingency planning, contract negotiation, obtaining permits when needed, creative design and development for décor elements, onsite event execution, post-event surveys and de-briefs, etc.
- Talent / speaker and entertainment booking
- Establishing event KPI's and outcomes
- Prepares and manages event budgets and workback schedules
- Processes invoices and tracks all expenses accordingly
- Works closely with Marketing Team to develop promotional plan, marketing assets and event materials
- Interfacing with donors, volunteers, and event Chairs
- Management of multiple events at any given time
- Onsite event management and execution including logistics documents, schedules, registration, set-up, tear-down, run-of-show, etc.
- Collects data and information from internal and external sources to create and present a thorough post-event analysis, reporting on ROI and key learnings
Qualifications
- Post-secondary degree in or related field, or equivalent experience
- 5-8 years' relevant, full scope event planning experience
- Must be willing to work off-hours as required, including evenings or weekends during event times.
- Strong interpersonal skills with ability to quickly build rapport with colleagues and stakeholders, donors, lay leadership, community, etc.
- Proactive with excellent organizational and time management skills
- Experience in project management and budgeting
- Strong problem-solving, decision-making and analytical capabilities with excellent attention to detail; strategic thinker
- Enthusiasm, creativity, innovation and the ability to thrive in a fast-paced environment
- Excellent written and verbal communication skills
- Maintain a high degree of discretion and confidentiality
- Familiarity with a non-profit/fundraising organization considered an asset
- Driver's license and access to a reliable vehicle
* This is a full-time maternity leave contract position (12 months). At UJA we support a flexible work schedule and all of our employees engage in hybrid work.
