PLEA Community Services is currently seeking a Full-Time HR Administrator (Personnel Files) for our HR team located in Vancouver, BC. The proposed start date for this position is as soon as possible. This position is excluded from BCGEU membership.
Hours of Work: The usual hours of work in this position are Monday to Friday from 8:30AM to 4:30PM, based on 37.5 working hours per week. Occasional evenings and weekends may be required to meet departmental needs.
Closing date for Internal Applications: Monday, November 4, 2024, at 4:30PM. If the position is not filled internally, it will remain open until filled.
Education/Experience Requirements:
- Bachelor's degree in a related field.
- One (1) year of recent, relevant experience.

What You Will Do:
- Ensure employee personnel files are consistently in compliance with internal and external requirements (e.g., Collective Agreement, accrediting bodies, funding agreements, licensing conditions and applicable legislation and regulations). Track the expiration of documents and follow up with employees and/or management to ensure paperwork is submitted on time.
- Coordinate the agency's response to employment milestones and life events (e.g., long service awards and birthdays).
- Conduct the background screening process for shortlisted candidates in compliance with internal and external requirements.
- Provide backfill coverage for the HR Administrator (Recruitment) as needed.
- Support the HR team in the coordination of preboarding and onboarding activities as necessary. Facilitate HR orientation sessions as required.
- Assist in the administration of the agency's student program.
- Ensure that HR filing systems, records, and drives are current, accurate, organized and in compliance with internal and external requirements.
- Develop systems to track HR metrics. Collect HR data and prepare regular and on-demand reports.
- Complete projects and initiatives within the department's strategic plan. Design and prepare materials for the department's activities and projects.
- Work collaboratively with other members of the team to execute the daily operations of the HR department.
- Implement and maintain HR policy and procedures.
- Complete a variety of related support tasks for the CHRO as necessary.
- Receive and distribute mail to the correct team member and save it accordingly. Order supplies for the team as needed.
- Provide general administrative support to the HR department and provide backfill coverage for other members of the team as required.
- Protect and uphold confidentiality.
- Perform other related duties as required.

Minimum Requirements:
- Satisfactory Criminal Record Clearance.
- Must possess and maintain a valid Class 5 or 7N B.C. Driver's License and suitable driver's abstract/claims history.
- Access to a personal vehicle for work-related travel. This position requires travel in the Lower Mainland and the Fraser Valley.
- Documentation that the applicant is legally approved to work in Canada.
