The Position:

The Administrative Assistant will provide administrative support to senior leadership while simultaneously managing and executing special projects. This role requires a detail-oriented, proactive professional with exceptional organizational skills and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will have a strong background in executive support and project management, with the ability to work both independently and as part of a team.

  • Manage and maintain the COO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Assist in scheduling travel for executives and Business Development staff.
  • Prepare and edit correspondence, presentations, reports, and other documents.
  • Coordinate logistics for meetings, including preparing agendas, materials, and follow-up actions.
  • Serve as a liaison between the COO and internal/external stakeholders.
  • Manage expense reports, invoices, and budget tracking for the COO.
  • Assist with event planning and coordination for company events, meetings, and conferences.
  • Provide backup support to other administrative staff as needed.
  • Lead and manage special projects as assigned by the COO, ensuring timely completion and alignment with company goals.
  • Conduct research, gather data, and prepare reports or presentations on various topics related to the projects.
  • Collaborate with cross-functional teams to ensure project deliverables are met.
  • Track project progress and provide regular updates to the COO and relevant stakeholders.
  • Develop and implement project plans, timelines, and budgets as necessary.
  • Assist with the implementation of a company-wide Document Control System.
  • Assist with the implementation and ongoing management of Sales Customer Relationship Management Program and ongoing management of sales KPI reporting.
  • Assist with the implementation of Asset Management System and ongoing administration of same.
  • Create and manage customer support request log.
  • Demonstrate the ability and willingness to travel occasionally (approximately two days per quarter) to assist with event coordination and meetings.
  • Other duties as assigned.

Qualifications:

  • Associate's degree in Business Administration, Project Management, or a related field. Bachelor's degree preferred.
  • 5+ years of experience as an administrative or executive assistant, preferably with project management responsibilities.
  • Previous experience in a manufacturing environment or role preferred.

Desired Skills and Competencies:

  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Visio) and project management software.
  • Excellent communication skills, both written and verbal.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Strong problem-solving skills and the ability to anticipate needs and prioritize tasks.
  • Demonstrated ability to manage multiple projects and deadlines in a dynamic environment.
  • Exceptional attention to detail and organizational skills.
