Position Summary:

We are seeking a dynamic and motivated Patient Care Coordinator to join our team at Maples Surgical Centre. This role is essential in coordinating surgical services and acting as a liaison between patients, physicians, and external partners. With a strong emphasis on building relationships and driving patient engagement, the successful candidate will have the opportunity to grow and shape the role as the centre evolves.

The ideal candidate will bring a mix of healthcare coordination expertise, customer service, and sales acumen to effectively manage patient care and support the centre's strategic goals, including business growth through a pull strategy.

Key Responsibilities:

Surgical Scheduling & Coordination:

  • Fully understand the programs and services of Maples Surgical Centre in order to provide accurate information.
  • Manage and coordinate surgery bookings, ensuring efficient use of surgical time in collaboration with surgeons, anesthesiologists, and nursing staff.
  • Maintain open communication with all involved parties to ensure accurate and timely scheduling.

Patient Communication & Advisory:

  • Serve as the primary point of contact for patients, providing clear information on pre-operative and post-operative processes, surgery details, and payment procedures.
  • Offer guidance on available services and ensure patients feel supported throughout their journey.

Sales & Engagement:

  • Actively promote the services of the centre using a pull strategy to engage potential patients and partners. Participate in outreach efforts, including communication with MOAs, doctors' offices, and external stakeholders.
  • Provide cost estimates, discuss financing options, and assist with payment processing to drive patient enrollment.

Relationship Building with Stakeholders:

  • Build and maintain strong relationships with funding partners such as insurance companies, workers' compensation boards, and government agencies.
  • Ensure transparency and trust in all communications, representing the centre with professionalism and care.

Documentation Management:

  • Accurately maintain patient records, schedule data, and necessary documentation in compliance with privacy regulations.
  • Prepare and organize patient files for consults, surgeries, and post-operative care, including consent forms and medical history.

Collaboration & Teamwork:

  • Work closely with clinical and administrative teams to optimize patient flow and ensure a seamless experience for all stakeholders.
  • Collaborate with marketing and outreach teams to align on patient engagement strategies and feedback on service offerings.
  • Maintain stock control for all inventory and patient assignment of inventory

Continuous Improvement:

  • Identify areas for operational enhancement and contribute to the development of processes that improve patient satisfaction and operational efficiency.
  • Uphold the highest standards of service and professionalism, ensuring accurate patient information, confidentiality, and maintaining a clean, organized work environment.

Support and Flexibility:

  • Provide administrative assistance, and backup support as needed, while maintaining a thorough understanding of clinic operations, patient protocols, and adapting to changing priorities.

Qualifications:

Education & Experience:

  • Post-secondary education in healthcare administration, business, or a related field preferred.
  • Previous experience in surgical scheduling, patient coordination, or healthcare sales is an asset.

Skills & Competencies:

  • Strong interpersonal and communication skills, with the ability to build relationships and trust with patients, surgeons, and funding partners.
  • Sales-oriented mindset with the ability to promote services and convert inquiries into scheduled procedures.
  • Excellent organizational skills with attention to detail and the ability to manage multiple tasks in a fast-paced environment.
  • Proficiency in EHR systems and Microsoft Office applications.

Work Environment:

Setting: This role is based in a clinical environment and requires direct interaction with patients, physicians, and external stakeholders.

Schedule: Full-time position, with occasional extended hours based on patient and surgery schedules.
