Job Summary

Reporting directly to the Director of Human Resources of Infinity Métis Corp. ‘IMC', the Receptionist/Administrative Support is responsible for various administrative duties in support of the company. Responsibilities include but are not limited to reception, arranging travel plans, meeting minute-taking and distribution, scheduling appointments, and drafting internal and external correspondence. The Receptionist/Administrative Assistant must also maintain confidentiality and professionally interact with employees, management, and the public.

The incumbent will conduct all activities in a manner that supports the mission, vision, and values of IMC, as well as adherence to all established Policies and Procedures.

This one (1) year temporary hourly position is based on forty (40) hours weekly.

Duties and Responsibilities

  • Creates a welcoming environment by greeting guests, answering phone calls, directing visitors, and taking messages for employees;
  • Provides administrative support to all members of the Infinity Métis team;
  • Coordinates the booking and setting up of meeting rooms;
  • Prepares and type correspondence, letters, PowerPoint presentations, take minutes, draft reports, background documentation, and research;
  • Prepares travel schedules, book travel arrangements, and make reservations for senior management and executive staff:
  • Coordination of executive team programs, including meetings, training, workshops, special projects, and events;
  • Coordinates and plans in-office or off-site activities such as social events, celebrations, conferences, and business symposiums when required;
  • Troubleshoots and/or escalates office administration issues;
  • Orders office supplies and maintains inventory;
  • Runs business errands;
  • Presents a positive and professional image of IMC to all visitors, suppliers, inquiries and other persons; and,
  • Other relatable duties as assigned.

Qualifications

  • Post-Secondary Diploma in Business Administration, Office Administration, or relevant discipline, along with two (2) years administration experience is required; or,
  • An equivalent combination of post-secondary education in Business Administration, Office Administration, or relevant discipline, along with four (4) years of administration experience may be considered;
  • Valid Class 5 Alberta Driver's Licence, along with a 5-year clean drivers abstract is required to be added to company vehicle insurance policy;
  • Criminal Record Check is required;
  • Time management skills and the ability to prioritize activities, especially when there is a high volume of tasks;
  • Flexibility to be able to move between activities and duties quickly when priorities change;
  • High emotional intelligence and interpersonal skills;
  • Critical and logical thinking skills;
  • Strong knowledge of office procedures and practices;
  • Strong attention to detail is essential to ensure accuracy and high quality outcomes;
  • A self-motivated attitude that takes initiative;
  • High level of integrity and ability to maintain confidentiality;
  • Must be proficient will all Microsoft office suite applications; and,
  • Strong proficiency in both written and spoken English is required for effective communication
