Job Description

The Medical Staff Office Site Coordinator provides administrative support in the Medical Affairs/Medical Staff Office (MSO) and works closely with the Manager and Director, Medical Affairs, senior advisors and credentialing specialists to provide a range of duties within a complex environment. The MSO Site Coordinator will be the primary contact for external enquiries to the Medical Affairs/MSO office, and will monitor and respond to the dedicated email established for external general enquiries.

The MSO Site Coordinator will also provide support to other members of the Medical Affairs/MSO team as required and assigned by the Manager or Director as well as their own specific duties and responsibilities. The MSO Site Coordinator role is recognized as a key support to the staff in Medical Affairs/MSO.

Accountabilities:

  • Triaging and managing calls received through the Medical Affairs phone line and emails through the dedicated Medical Affairs inbox
  • Act as a liaison between multiple stakeholders, i.e. physicians, other departments to support Medical Affairs/MSO administrative processes and connectivity
  • Distribution of surveys to physicians and collating results for those sending the survey, i.e. chiefs of department, MSO office
  • Support the Senior Advisor and Credentialing Specialists with portions of the credentialing and onboarding of professional staff
  • Assist Senior Advisor and Credentialing Specialists with filing and file maintenance
  • Coordinate and follow up with requests for maintenance or service issues related to MSO office space or physician lounges
  • Liaise with security office and professional staff to coordinate badge pick up
  • Provide administrative support to the chiefs of department to establish a yearly educational calendar to schedule clinical education rounds for departments including obtaining sponsorship for the rounds
  • Coordinate supplies needed for the physician lounges and to arrange delivery of the supplies through Receiving to Medical Affairs/MSO offices
  • Access and monitoring of the physicians' sleep rooms and following up on any concerns or problems reported with the relevant departments
  • Supporting the Professional Staff Association executive committee with scheduling meetings, booking rooms, sending and posting notices at all sites
  • Support the Medical Affairs/MSO with other projects as assigned by the Manager or Director and/or Senior Advisors
Qualifications
  • College diploma preferred
  • Two to three years experience as an administrative assistant
  • Advanced proficiency with office software, specifically Microsoft Office, the internet and electronic data management systems
  • Excellent oral and written communication skills and the ability to interact with all levels of employees and physicians as a team player
  • Experience in conducting background research and internet searches
  • Exceptional organizational and time management skills within a fast-paced environment
  • Demonstrated ability to maintain a fast work pace, while managing multiple priorities with strict deadlines while maintaining a positive attitude
  • Demonstrated diplomacy in dealings with others even when responding to tight deadlines
  • Excellent problem solving and judgment capabilities
  • Enthusiastic about learning and adapting to changing responsibilities
  • Demonstrated interest in learning the objectives of the program or department in order to add value to the operations

Additional Information

Hours: Currently days (subject to change in accordance with operational requirements)

Onsite First Role: Roles that frequently support direct patient care and have dedicated hours when they are available to patients, team members and/or other partners.

Annual Salary:
Minimum: $60,216
Maximum: $75,270
