About the Opportunity

We are looking to add a Project Coordinator to our Delivery Team, to support our Project Managers and help us complete projects on time, on budget and with an incredible client experience. This role is crucial to Clearspace to help us scale and deliver on our mission: Make better space available to more people.

About the Deliverables
  • Assist Project Managers (PMs) with administrative tasks across all projects.
  • Set up new projects in Clearspace's systems and platforms.
  • Create, manage, and organize all project documentation, including construction start-up/closeout documents, permits, timesheets, and subcontractor invoices.
  • Schedule site photography and City inspections.
  • Manage the permit submission process and related payments.
  • Update project information and role assignments within Procore (our project management platform).
  • Coordinate procurement activities, including tracking orders, managing delivery schedules, and ensuring timely arrival of materials and equipment.
  • Support the team with other administrative tasks as needed.
  • Ensure all tasks are completed on time by following up on outstanding items and gathering any missing details.
  • Maintain accurate, complete, and up-to-date site documentation, reports, and plans.
  • Assist the Site Operations team with job site setup, teardown, logistics, orientations, and other operational needs as required.
About You
  • 3+ years of experience in project coordination or administrative support, ideally in construction, interior design, or related fields.
  • Excellent organizational skills, with a strong attention to detail and the ability to follow workflows and checklists accurately.
  • Proficiency with project management software (e.g., Wrike, Procore) and common tools like MS Office (Word, Excel, PowerPoint).
  • Proven ability to manage multiple tasks and prioritize effectively, while coordinating with various stakeholders.
  • Strong communication skills with experience working alongside external vendors and partners.
  • Familiarity with commercial or high-rise office construction projects.
  • Comfortable with a hybrid work environment, with occasional travel to job sites within the Greater Toronto Area.
