Role: Senior Accountant (Family Office)
Location: Toronto, ON – office located at Yonge & Bloor
Type: Full Time / Permanent

Reporting to: Director of Finance

We are looking to hire an organized, resourceful, proactive and experienced Accountant to work closely with the Director of Finance and the CEO on Family Office and personal accounting matters. This position, Senior Accountant (Family Office), requires past work experience in an Accountant or Financial Analyst position, financial acumen, strong excel skills, superior organizational skills, strong communication skills and exceptional attention to detail. You will oversee the CEO's personal financial management, family office expenses and administration, including expense tracking, bill payments, and cash-flow forecasts. The ideal candidate is experienced in handling a range of accounting functions, can handle working under deadlines, and thrives in a dynamic and fast-paced environment. We are searching for somebody who is highly professional, trustworthy, and understands that confidentiality and discretion are essential in this role. We are looking for a problem solver, an analytical thinker and somebody who is curious to learn.

Responsibilities

Expense Tracking, Reconciliations, and Analysis [65%]

  • Manage, track and reconcile personal/business expenses and budgets related to the Family Office / Personal / Funds
  • Complete detailed expense reports for personal and business - track, manage and report on personal and business expenses in excel spreadsheets
  • Manage multiple credit card and bank account statements - including monthly expense reconciliations and detailed monthly allocation analysis
  • Accounts payable tasks: pay and file bills/expenses/invoices, allocate invoices accurately
  • Track medical/health expenses and submit receipts to insurance company for payment
  • Financial tracking for multiple projects and multiple personal real estate properties
  • Flag unusual credit card charges/expenses and perform expense reasonability checks and analysis on expenses
  • Maintain systems to file, organize and archive information/documents/contracts/invoices/receipts
  • Maintain insurance files and coordinate annual insurance renewals - commercial, personal, properties, vehicles, etc.
  • Maintain various databases for the office of the CEO – tracking expenses, inventory, assets and property expenses
  • Assist Director of Finance with annual audit and personal/trust tax filings, provide supporting documentation and the necessary details requested

E-Commerce Business [20%]

  • Bookkeeping for a subsidiary e-commerce business
    • Create sales invoices and track all sales, and payments received
    • Track sales from all platforms (ie. Shopify, manual invoices, etc.) in QuickBooks
    • Record and track all expenses in QuickBooks (ie. advertising fees, assembly invoices, shipping costs, materials purchases, travel expenses, etc.)
    • Create monthly and annual sales reports, expenses reports, P&Ls
  • Managing pricing catalogue (price lists for vendors) and inventory tracking
  • Work with KPMG on annual tax returns including creating reports needed and maintain accurate and organized records of all expense invoices for the tax file

Mortgage Loan Book [10%]

  • Update the Mortgage file for mortgage acquisitions (new), discharges, and any changes in terms (interest rate, term, etc.)
  • Prepare monthly mortgage reports highlighting key mortgage metrics, monthly interest income, and variance analysis
  • Filing and organization of mortgage statements and invoices
  • Manage communication with mortgage administrators, ensuring deposits are made on a timely basis and that updates on individual mortgages are received

Charitable Foundation [5%]

  • Managing the CEO's Charitable Foundation – includes coordinating and tracking all donations/grants/commitments, liaising with Foundation's bankers, donation reconciliations, and completing annual impact summary

Requirements

  • A minimum of 2 to 4 years of professional experience in a similar role (ie. Accountant, Accounting Administrator, Personal Accountant, Intermediate Accountant, Senior Accountant, Financial Analyst, Accounts Payable, etc.)
  • Must have a University Bachelor's Degree in Business / Accounting / Finance / Commerce
  • A professional accounting designation is an asset, but not required
  • STRONG EXCEL spreadsheet skills required
  • Experience with QuickBooks is preferred
  • Prior experience working on budgeting/forecasting is an asset
  • A/P experience is an asset
  • Strong quantitative skills focused on financial analysis, accounting and analytics
  • Excellent interpersonal skills, upbeat and high energy personality
