About the Opportunity
This position provides a variety of confidential secretarial and administrative support functions to the CEO and Executive team.
- Act as a professional and confidential representative of the CEO and Executive Team.
- Handle incoming and outgoing communications, including emails and phone calls, in a professional manner.
- Manage the CEO & Executive team's calendar to optimize their time and prioritize important tasks.
- Arrange and coordinate travel plans, including flights, restaurant bookings, accommodations, and transportation.
- Be prepared to drive is requested.
- Help draft, edit, and proofread emails, reports, and other documents on behalf of the CEO & Executive Team.
- Provide administrative support to senior executive, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Coordinate and plan Board of Directors, Shareholder, and ESOP meetings (including AGM), prepare and send agenda, supporting documents, minutes, etc. to the stakeholders.
- Attend a variety of meetings, take minutes, and provide summaries as required.
- Updating and managing social media accounts such as company/personal LinkedIn profiles and connections.
- Conduct event planning for client and employee functions including open houses, holiday parties, golf tournaments, milestone celebrations, etc.
- Research business opportunities and potential acquisition targets.
Qualifications:
- Professional with a high regard for confidentiality and maintaining privacy.
- Skilled at clear and tactful communication to all parties, verbally and written
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication skills, both written and verbal.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Ability to make proactive and effective decisions, applying common sense to situations and knowing when to seek assistance.
- Works effectively with little or no supervision, minimal direction and frequent interruptions.
- General administrative skills: filing, letter and report writing, record keeping, proofreading.
- Great organizational skills with the ability to set priorities and multi-task.
- Positive attitude and willingness to learn and grow.
- Previous administrative experience is a plus but not required.
