Patient / Scheduling Coordinator

Maples Surgical Centre, a division of Clearpoint Health Network, located in Winnipeg, Manitoba, is recruiting for the full-time position of Clinical Office Supervisor.

Position Summary

Reporting to the Director of Operations, the Clinic Office Supervisor leads and supports the surgical facility's administrative function, while supporting a culture that emulates our company mission and values of Compassion, Quality, Innovation and Respect. This individual is responsible for ensuring excellent quality of customer service and administrative service that contributes to the overall focus on effective patient care and operational success.

Key Responsibilities:

  • Supervise office administration, customer service, and patient information management; act as IT resource for staff.
  • Lead surgery patient inquiries and referrals, providing high-quality, confidential service throughout the patient journey at Maples Surgical Centre.
  • Coordinate patient screenings, ensuring assessments and paperwork are submitted on time and communicated to patients and the clinical team.
  • Collaborate with the Nurse Manager to ensure smooth clinic operations, record maintenance, and patient flow.
  • Foster positive team engagement in a fast-paced environment, prioritizing tasks efficiently.
  • Participate in recruiting, training, and onboarding new staff and physicians.
  • Provide ongoing coaching and feedback to improve team performance; manage performance reviews and exit meetings.
  • Lead office administrative team meetings with a results-focused approach.
  • Oversee reporting deadlines, automation and systems implementations and project management and outreach.
  • Schedule staff and clinic usage for surgeons, coordinating with nursing and anesthesia to ensure accuracy.
  • Manage staff absences, leave requests, and schedule adjustments as needed.
  • Handle payroll management and paid time off tracking.
  • Contribute to management meetings, Health & Safety Committee, and strategic planning.
  • Perform additional tasks as assigned by Manager.
  • Occasionally communicate with patients and clinical staff outside of regular business hours.

Qualifications:

  • High school diploma or equivalent preferred.
  • Strong interpersonal, verbal and written communication, time-management and organizational skills.
  • Knowledge of medical terminology and surgical care delivery.
  • Proficient in database systems and MS Office Suite.
  • Minimum 3 years' experience in a healthcare or secretarial role, preferably in surgical or acute care settings.
  • Experience with scheduling systems (Shift board experience is an asset)
  • Experience with EMR systems is an asset
  • Ability to work independently and collaboratively.
  • Patient-focused with a proactive, problem-solving approach.
  • Proof of full immunizations, including COVID-19.
  • Physical ability to perform job duties.

The work schedule is mostly but not limited to regular business hours and there may be a need to communicate with patients and clinical staff outside of regular business hours.
