Reception and Administrative Support
  • Provide exceptional customer service for a great guest experience.
  • Follow sign-in process for guests in Administration Building and direct visitors to appropriate offices.
  • Manage multi-line phone system, directing calls, taking and delivering messages.
  • Assist with reports and presentations.
  • Take and distribute meeting minutes.
  • Provide administrative support with tasks like creating SOP binders, basic HRIS data review.
  • Handle access requests and security code and fob changes.
Communication
  • Handle and redirect email, mail, and inquiries.
  • Communicate updates and repairs for office equipment to the administration office.
  • Ensure contact information is up to date for administrative contacts and staff directory.
  • As requested, support with the development and distribution of internal and external communications.
Operational & Fulfillment Support
  • Maintain office equipment and systems, addressing any issues where support or maintenance is required.
  • Submit supply orders as required and maintain office supplies inventories.
  • Maintain cleanliness of meeting rooms and common areas.
  • Assist with specific departmental requests such as booking training, mailouts, and other requests.
  • Represent the Administration team as a worker member of the Joint Health and Safety Committee.
  • Support with creation or filing of documentation and record-keeping for the Joint Health and Safety Committee (JHSC), as well as the Health & Safety Representative(s).
  • Set JHSC Meetings, support with agenda creation, take minutes and post approved minutes
  • Support with the development of statistical records such as the number of incidents or other statistics as requested.
  • Call candidates, conduct basic screening & schedule interviews for business unit leaders as requested.
  • Provide direct administrative support to event fulfillment departments as required.
  • Supports the business unit leaders and senior leadership with administrative support as requested.

Here is what you bring:
  • Post-Secondary certificate in business administration is an asset
  • 1 to 3 years of administrative assistant experience required, preferably with reception experience
  • Written and oral communication skills, including experience taking and transcribing meeting minutes.
  • Proficient use of various office-based software including Microsoft 365 and SharePoint
  • Able to demonstrate exceptional customer service skills, accountability, and time management skills, strong interpersonal skills and a positive approach to teamwork.
  • Ability to work interdependently with other business units to support their functions

Salary: $41,600 to $48,755.20 per annum.
