Job Summary

The primary objective of the Tournament Coordinator is to manage and execute world-class hockey tournaments at Capital Sports Management Inc. (CSMI) managed facilities. The successful candidate will be responsible for supervising 30+ staff and volunteers during each tournament run by Capital Sports Management Inc, and ensuring excellence in all areas of event execution. This role will often feature a Thursday through Monday work week, meaning having an ability to work weekends and holidays is a must.

This position will be based out of the Richcraft Sensplex (east Ottawa), with secondary responsibilities at the Bell Sensplex (west Ottawa).

Main Responsibilities

Related Duties:

  • Event coordination for world-class youth and adult hockey tournaments, including but not limited to all recruitment, marketing, prize coordination, staffing, and event execution/supervision, all as per event budgets
  • Preparation & distribution of thoughtful tournament schedules for events of all sizes
  • Dealing with players, coaches, hockey executives on a regular basis and as specific issues arise
  • Manage relationships with key stakeholders; including host minor hockey association coaches and executives, corporate tournament clients, and other partners
  • Manage content of tournament websites and ensure all information is kept accurate and up to date
  • Pre and post event communication (written and oral) with all clients/teams, including phone, email and in-person
  • Execute tournament marketing plans and assist with the development of these plans
  • Ensure all tournaments meet or exceed registration targets using a creative, hard-working, whatever it takesapproach.
  • Manage tournament social media accounts
  • Listen, use proper judgment and oversee supplementary discipline with tournament participants while ensuring the rules & regulations of all governing bodies are followed with 100% accuracy; consulting minor hockey executives and other tournament committee members as required
  • Ensure all tournaments are run with the highest possible level of competitive balance & fairness and are run to the highest possible standard reflective of the Ottawa Senators & Sensplex brand
  • Ensure relevant information is communicated accurately and timely to all event participants
  • Maintain event files for game sheets, waivers, and other collateral tournament materials
  • Prepare event P & L's and maintain files for back-up of all event-related revenues and expenses
  • Prepare frequent cash-reconciliations (for tournament entry fees and admission fees) as required before, during and after each event
  • Maintain database of all tournament contacts using MS Excel
  • Hire, train, supervise and coach part-time tournament staff, coop students/interns & volunteers to achieve maximize results
  • Ensure all policies & procedures as outlined by the sanctioning body of each tournament are followed with 100% accuracy
  • Serve on interdepartmental committees as requested or required
  • Occasionally assist with the execution, planning or marketing of CSMI run leagues & programs
  • Dealing with difficult people on a regular basis
  • Responsible for following policies & procedures set out by the Director of Hockey Programs, Manager of Team Programs and the Senators Sports & Entertainment group of companies, and for ensuring all part-time staff do the same
  • Other duties as requested by the Manager of Team Programs

Health & Safety Responsibilities and Accountabilities:

Responsible for ensuring that all areas covered by Occupational Health & Safety Act (“OHSA”) are adhered to, specifically:

  • Working in compliance with the provisions of the OHSA, regulations and internal policies and procedures
  • Using or wearing protective equipment, devises or clothing when required
  • Reporting any missing or defective equipment or protective device which could endanger himself or herself or another team member
  • Reporting any contravention of the OHSA, regulations or Senators Sports & Entertainment policies and procedures

Training:

Responsible for completing on-line training modules as required and for ensuring that part-time team members do the same, including, but not limited to:

  • Accessibility for Ontarians with Disability (AODA)
  • Information & Communications Standards & Employment Standards (IASR)
  • Ontario Worker Health & Safety Awareness
  • Workplace Hazardous Materials Information System (WHMIS)
  • Violence & Harassment in the Workplace
  • May also be required to attend on-site training sessions as scheduled (eg. customer service).

Requirement

  • University Degree or College Diploma in a sports, business, or communications related field
  • Must be fully knowledgeable with the rules of hockey (experience as a hockey player, hockey coach, or hockey referee required)
  • Excellent written and oral communication skills (written communication competency test may be required during application process)
  • Bilingual (French & English) an asset
  • Minimum of 2 years customer service experience (education in this area is an asset)
  • Previous experience in event planning / management
  • Must be proficient with MS Office applications (Excel, Word, Outlook) with special emphasis on MS Excel
  • Must be a team player
  • Very strong work ethic
  • Ability to work under pressure situations and deal with difficult people on a regular basis
  • Ability to meet tight deadlines
  • Must hold a valid driver's license and have own means of transportation
  • Must be available to work some evenings, many weekends and some holidays
