Job summary
The Manager, Elections is responsible for delivering a high quality, professional and member-focused elections experience to the organization including the board of directors, president-elect, potential candidates and constituency groups. The position works with colleagues across the organization on a range of elections activities and is the lead on identifying and delivering opportunities to modernize and improve the effectiveness and efficiency of the process. This position will recommend opportunities to modernize elections processes and seamlessly implement changes from other governance initiatives that impact elections (i.e., technology review, constituency review, board recruitment enhancements.)
How you will make a difference
  • Responsible for the delivery of OMA's single election period, any byelections and/or special elections/votes. Oversees all activities related to OMA elections process, including planning and implementation. Is a primary point of contact for the external recruitment firm.
  • Developing a strategy for the next phase of the elections process based on annual evaluations and reviews, and at the direction of the CEO and board.
  • Responsible for the successful implementation of a board-approved multi-year board director recruitment plan including a physician leadership succession plan and targeted president-elect recruitment.
  • Ensuring any and all constituency review elements are incorporated into the election process including any transition and change management support required by physician leaders and constituency groups.
  • Working with Technology on a short-term project, to provide leadership and oversight as the program owner on a process and technology review of the OMA elections lifecycle with the goal of simplification, streamlining, and automation.
  • Corresponding and liaising with OMA departments, the external recruitment firm , physician leaders; responding to member inquiries related to elections; and lead for elections issues management.
  • Oversight of elections related communications to the OMA membership, communicating and continuously providing information and updates to senior OMA staff, external recruiters, candidates, and members.
  • Providing direct executive support to the OMA Immediate Past President who has board accountability for elections oversight.
  • Providing advice and support to officers, board and committee members on elections matters as required.

Requirements that are important to us
  • An undergraduate degree in Business Administration or similar field or College education coupled with relevant direct experience
  • Six to nine years of relevant experience leading complex projects and initiatives
  • Direct experience with elections an asset
  • Corporate Secretary designation is an asset
  • Understanding of Governance requirements and developments in practice with ability to interpret policies, procedures, bylaws and other governance documents
  • Excellent relationship management skills, and able to work with stakeholders at all levels of the organization
  • Ability to present pragmatic alternatives and propose solutions
  • Excellent attention to detail including proof reading skills
  • Excellent IT skills and working knowledge of databases
  • Possess excellent verbal and written communication skills and able to raise difficult issues with senior executives in a meeting environment.
  • Is a collaborative team player with a flexible approach
  • Takes full responsibility and accountability for own tasks, while seeking advice and assistance when necessary
  • Ability to identify and recommend improvements to existing processes, to align with developments in governance practice and improve effectiveness and efficiency.
  • Maintaining quality standards during times of change.
  • Ability to build and manage relationships with both internal and external members/partners
  • Demonstrated experience and skills with people leadership, including ability to lead through change.

The OMA has moved to a permanent hybrid work environment. As such, the individual in this position will be required to work a minimum number of days in our Toronto office.
