THE OPPORTUNITY:

We are currently looking for an ambitious and friendly Office & Operations Coordinator to join our growing team in beautiful Kelowna, BC! The Office & Ops Coordinator will complete a range of administrative and operational tasks to support the function of our Kelowna Branch. The Ops Coordinator will be familiar with a variety of services, practices, and processes and will support our Ops Manager and Fire Service Technicians through a wide range of tasks related to office administration and organization, scheduling and dispatch and reporting and communication.

Key Responsibilities:

  • Schedule Field Service Technicians on maintenance inspections and repairs as efficiently as possible, while meeting department targets.
  • Effectively dispatch Field Service Technicians on emergency service calls.
  • Assist in customer inquiries regarding quotes or invoices as necessary.
  • Monitor email inbox(es) for requests and key information, distribute as required and maintain appropriate information/documentation database(s).
  • Exhibit Community Fires' shared Core Values to effectively deliver next-level service to all customers.
  • Coordinate pick-up and delivery of mail services for the office (Canada Post, Couriers etc.).
  • Data entry and record keeping as needed.
  • Develop and maintain meaningful customer relationships that promote loyalty and retention.
  • Additional duties as assigned.

The ideal candidate would have the following qualifications, strengths, and experience:

  • Proven admin and scheduling experience in a relevant position
  • Proficiency with MS Office Suite (Excel, Word, Outlook)
  • Minimum education of a high school diploma, or GED
  • Prior experience with routing/directing calls
  • Outstanding communication and interpersonal skills
  • Ability to handle data with confidentiality, discretion and ethical conduct
  • Good organization, time management, and prioritization skills
  • Exceptional verbal, written, and listening skills (English)
  • Self-starter and can work independently
  • Team player with a warm and outgoing personality
